Participation and Consent Forms

Completed/signed consent FORMS for all participants (students, volunteers, mentors and participating adults) must be turned in online using this link (http://www.robotevents.com/consent)

Each participating team must provide at least one volunteer for all or a portion of the day.

Volunteers should sign up using the SignUpGenius below OR by sending email to [email protected] with your preferred event volunteer position(s) with your team number if you are volunteering for a particular team.  If you will need an official letter indicating your volunteer hours, please email that request to [email protected]. If using the sign-up-genius please put the team # and note if you need an official letter in the "comment" text-box on the page where you type in your email address.  NOTE that we are holding a VEXIQ tournament on the same day so be sure to indicate which event you would like to attend as a volunteer.

Lunch Plans

A pre-order form will be sent to each registered team as of  11/27/23

  1. Pizza [large cheese or sausage or pepperoni] (expected price $14, final price TBD)
  2. Drinks will also be available with the lunch pre-order at a reduced cost

In addition, Berthoud Robotics will have various drinks and snacks available for preorder and purchase including water, diet and non-diet soft drinks (Pepsi/Coke products) and various sport drinks.  Snacks will generally be pre-packaged chips and candy bars.  By-the-slice pizza will also be available. Bear in mind the lunch break is quite short.

Review Rule <T3> regarding appealing a referee ruling to the Head Referee and the "No Photo or Video Review" policy.

 

This event is sure to be a fast paced and exciting event.  All teams should come prepared for competition.
Here are a few steps that every team should take to ensure they are ready.

  1. Review rules and run through the inspection checklist (see Documents tab).  Review closely the rules for using VEX V5 equipment or VEX Cortex equipment.  Note also the rules on robot sizing.  The sizing rules can cause your team a lot of work early in the day if not closely followed.  Review the rules for notebooks and notebook submission.

  2. Check the official Q&A and VEX forums for rule updates and changes

  3. Carefully read all of the information contained in the tournament posting on RobotEvents.com

  4. Review the descriptions and criteria for the awards being given during this tournament

  5. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby as the venue is a very tight fit. Also, remember no grinding or other actions that create sparks inside the high school building.

  6. Understand how the game will be played. 

  7. Ensure that you have the latest version of V5 firmware (cortex equipment is not legal).

  8. Read through the robot troubleshooting guide and follow the directions about setting up your robot during the competition.  Following the directions will avoid issues with the robots and the controllers.

  9. If you have issues with your computer or software, BRC will likely only be able to help you if your are using the Vex VRC integrated development environment.  We have limited setups to help with PROS, JAVA or Python.

Adjustments made the day of the tournament take precendence over the agenda shown above.  Typically adjustments are related to adding/subtracting teams and match throughput.  Please be flexible.

Lunch

Teams may bring in own food, pre-order lunch, buy pizza by the slice, or go out to lunch.  Lunch is only 30 minutes.

Volunteer

Participating teams are required to have 1 volunteer sign up per team who is not a coach for half of the day (this can be organized as two volunteers each taking a 2-hour slot). Please have the volunteer send email with their preferred volunteer position to [email protected] OR even better, use our VRC Tournament Volunteer SignUP-GENIUS.

We are in need of both full and partial day volunteers.  Volunteer slots for most positions are 2-hours in length. A half-day slot would be two 2-hour slots.  A full day position would be either a full day position (e.g., Referee) or two half-day or three 2-hour slots.  RECF has descriptions of the volunteer positions on their website or see the Berthoud Robotics Tournament page.

Emergency/Bad Weather Policy

The event will be cancelled only if news stations advise staying home. We will post on both http://BerthoudRobotics.org/tournament and on the tournament page on RobotEvents.com.

Refund and Payment Policies

Full refund if cancelled before 11/22/23, minus the $5.00 RobotEvents fee which is non-refundable.  The 11/22/23 date allows us to contact teams on the waitlist to confirm they can attend.

On or after 11/22/23, we will refund only if there is a replacement team on the wait list who actually participates in the event.  If you do find a team to take your spot please have them send mail to [email protected] with the team number as soon as possible.

Teams who have not paid by Noon MDT on 12/2/23 and who have not made other arragements may be moved to the waitlist until arrangements are made.

Let us know if your team is quarantined the weekend of the tournament and we will, on a case-by-case basis determine if your entry fee (minus the $5 RobotEvents fee) can be refunded.

If the event is cancelled all but the $5 RobotEvents fee will be refunded to all teams.

Health and Safety Policies

Larimer County, Thompson Schools and Berthoud High School currently do not have any requirement for mask wearing at any point in the event.  It is definitely ok if you want to wear a mask during the event.  Masks will be available at the checkin table.  We highly recommend anyone not feeling well (whether Covid, Flu or any other ailment) please use common sense and stay home if warranted.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges. There will not be an innovation award given out but feel free to fill out the innovation form and turn it in with your notebook as it can help the judges find your best work.
