Competition Preparation:

This event is sure to be fast-paced and exciting. All teams should come prepared for competition. Here are a few steps that every team should take to ensure that they are prepared.

1. Review the rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments.

2. Check the official VEX forums for rule updates and changes.

3. Pack for the event the day before the day of departure. Here are a few items that you don't want to forget:

  • Goggles/Safety Glasses
  • Spare parts & tools
  • Batteries and chargers
  • Programming cable
  • Power strip
  • Laptop computer
  • Engineering notebook (if you have one, helpful for Judges, Design and Excellence Awards )
  • Banners and other decorations for your team pit
  • Giveaways if you have them

4. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby as the venue is a very tight fit. Also, remember no grinding or other actions that create sparks.

5. Understand how the game will be played. VEX participants are more than welcome to watch the referee training videos before they attend a tournament.

6. Read through the Robot troubleshooting guide.

7. To ensure that you have the latest version of firmware make sure that you have the latest update of your programming software.

8. Participation and Consent Form - A completed form for all participants must be submitted online.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Agenda

We are opening doors at 9am in hopes that it makes morning travel easier for teams from from farther away in Kansas. We will do our best to stay on time, and even try to wrap up early if possible to get everyone home at a decent hour. 

9:00 AM - Doors Open to Teams

9:15 AM - Inspections Begin

9:45 AM - Drivers meeting and announcements

10:00 AM - Qualification rounds, Skills Challenge, and Judging begins*

12:00  - 1:00 PM - Lunch break, Skills will remain open

1:00 PM - Qualification rounds, Skills Challenge, and Judging 

2:45 PM - Break to finalize standings

3:00 PM - Elimination rounds

3:45 PM - Awards Ceremony

4:00 PM - Tournament concludes

*If all teams pass inspection before 10 am, we will start qualification rounds earlier. 

Volunteer

We are looking for volunteers in the following roles:

  • Tournament Manager Opperator (1-2)
  • Head Referee (1)
  • Score Keeper (2-4)
  • Skills Referee (2-4)

Emergency/Bad Weather Policy

In the event of cancellation due to weather, refunds will be issued if a makeup date is not found.

Refund and Payment Policies

If the Event Partner cancels the event: 

  • Refunds will be issued if a makeup date is not found.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend: 

  • Refunds will only be issued if a team is found to fill that spot. No refunds will be given for withdrawls less than 2 weeks prior to the tournament.
  • Regardless of reason for issuing a refund the $5 REC fee is not refundable.

 

Judging Format

All In-Person Judging 

  • The Team Interviews and Engineering Notebooks will be judged in-person the day of the event.
  • Teams should bring a physical copy of their notebook to submit to the judges.
