General Info
Welcome to the GB Lancers High School & Middle School Qualifier. We are proud to host this year’s Challenge “Over Under. We look forward to seeing new teams and old friends. Come and enjoy a day of fun and friendly competition as teams work together to garner a spot to advance to the California State Championships in March 2024.
Check-In, Payment and Refunds
- Teams that have not checked in 30 minutes prior to the beginning of the qualifying matches will be dropped from the roster so that the match list may be run.
- Please note that teams that have not paid their event registration on 12-8-2023 may be dropped from the event at the Event Partner’s discretion.
- Reminder Emails: Payment of Registration fees will be sent to Teams on 12-1-2023.
- Consent Forms: Requirement to participate in Event & will be verified by 12-1-2023.
- Teams that are running late must contact the Event Partner prior to this cut off if they do not wish to be dropped.
- No Refunds will be given unless a Waiting List team fills your spot and is paid in full.
- There will be a $5 charge if you paid through RECF.
Swapping or Changing Teams
Please make sure you have registered the correct team for an event.
- If you need to withdraw a team from an event please notify the EP. The refund policy above will be in effect.
Waiting List
- A Waiting List will be maintained, to replace possible withdrawals. Teams can add themselves on the Waiting List.
- If any openings are available two weeks prior to the event, Waiting List teams will be notified via email and/or phone message to see if they are still interested; Team will need to RSVP within 48 hours of notification if still interested; Payment will be required 1 week prior to the event or will be dropped from the event.
Engineering Notebooks
- This event will have full offering of awards, so please be ready to participate in judging interviews during the competition. We advise all teams to read/review the rubrics for both the engineering notebook and Team interviews.
- Please bring a printed engineering team notebook.
- Online notebooks will not be judged at this event.
- Engineering Notebook for the Excellence and Design Awards will be turned in at Check-In and returned after Alliance selection.
Queue check-in: 2 matches ahead of your match
- We ask that your teams carefully review the match lists and allow time to meet and strategize with their alliances, and Queue in a timely manner, and get to the field at the proper time.
- The Head Referee may start with a team in place of the current match.
VEX Certified Head Referee:
Agenda: Knowing the sacrifice and resource commitment that every team experience, we will make every effort to adhere to the posted agenda.
- To help event run on time, the Head Referee will make every effort to “start Matches on time”.
- If a team is missing from the current field to start a match, the Head Referee may start the Match without a team in place.
Skills Field Information
Our event will have a robotics Skills Field available for students to post scores towards the Worlds ranking. VEX Certified Referee will score each skill runs.
- Each team can participate in up to 3 Drivers runs and 3 Autonomous Programming runs.
- Skills will only be available during the time that Qualification Matches are taking place.
- Please make sure to have your team complete runs during the morning session of the event. EP does not guarantee that your team will complete all driver runs and autonomous runs during the event.
- It is up to the VEX participants / teams to plan out how to approach the entire event with the competition and skills event in mind.
- NOTE: Adults will not be allowed to wait in line for the students.
Code of Conduct Policy
Please read/review the Code of Conduct Policy by the REC. Any individual or team not upholding these behavior or ethical standards could be asked to leave the event if issues arise. NO refunds are to be given if this occurs.

Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

Volunteer
Please send message to Event Coordinator if you would like to Volunteer. We recognize individual with Community Service Volunteer Certificates – Service Hours.
Help in field reset, Competition support, table queue for teams to check-in before a match, etc, would truly be appreciated.
Emergency/Bad Weather Policy
The Event is held indoors and will not be affected by weather.
Refund and Payment Policies
Payment Policy: Payment Deadline is December 1, 2023.
If payment has not been received by December 1, 2023, then team will be moved to the Waiting list.
If the Event Partner cancels the event: Refunds will be provided in a timely manner to all participants that paid in full for the event.If a Coach/Mentor completes registration for the event, then chooses to withdraw or not attend,

- Online notebooks will not be judged at this event.
- All teams will be interviewed. Judges will attempt to interview teams and leave "Judge's Note to Missed Teams" that Judges were present at the Team's table. Please coordinate your Skills and Matches to make sure team is interviewed by the Judges during the Qualification matches.
