General Info

A coaches/advisors hospitality room will be set up, but WILL NOT provide a meal at lunch. Snacks, drinks and bottled water will be made available for coaches and advisors. Please help us keep student competitors in the contest area. The hospitality room is for coaches, advisors and volunteers only.

Concessions will be available starting at 9:00 am.

Digital notebooks will be submitted utilizing the instructions in the "Judging Format" link on the left side of this page. Please note the deadline to submit the digital notebook. Notebooks received after the deadline specified will NOT be considered for judged awards and will not be reviewed. No exceptions.

We look forward to seeing your team at the event. We are certainly looking forward to the intensity and camaraderie of these contests. We ask that you remind your team members of the code of conduct well in advance of the event so we all have an enjoyable time during the contest.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

Emergency/Bad Weather Policy

In the event of bad weather, this event may be cancelled or postponed. In the event the tournament is cancelled, refunds will be given (minus the $5 REC Foundation website maintenance charge, per team).

If the event is cancelled due to inclement weather, notification will be sent out to all advisor's/coaches email addresses (as posted in the team registration system) on the Friday afternoon prior to the event, no later than 5:00 pm CST.

Phone calls and text messages will NOT be sent out.

Refund and Payment Policies

If the Event Partner cancels the event: 

Refunds will be given, minus the $5 per team REC Foundation website maintenance fee (per team).

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

Refunds will NOT be given if the team withdraws, does not attend the event or fails to complete the robot inspection in order to compete. Make sure your team's robots will pass inspection before bringing it to the inspection table. Teams not completing the inspection prior to 9:00 am will not be allowed to compete and no refund will be awarded.

Payment is expected to be recevied by the REC Foundation at least 5 days prior to the event.

 

Judging Format

 

  • In-Person Judging - The Team Interviews will be in-person the day of the event. Teams should submit a digital version of the engineering notebook by following the instructions below.
  • Digital notebooks are submitted at Robotevents.com. https://kb.roboticseducation.org/hc/en-us/articles/8021542769175-How-to-Submit-a-VRC-Digital-Engineering-Notebook, no later than noon CST, January 31, 2024. Digitial notebooks received after that date will NOT be reviewed or considered for judged awards. Physical engineering notebooks will not be accepted nor judged for this event.
