Arrival
Upon arrival, please be sure to check in at the front desk to submit your VEX Participation Release forms (only the online form is accepted) and receive your tournament packet. After checking-in, you should find your pit which will be located in the aux gym this year, and have your robot inspected (in the main gym) as soon as possible. In order to compete, your robot must meet all VEX legal standards and pass inspection. Check-in and inspection will begin at 7:30 am and end promptly at 8:15 am (any team not checked-in and inspected by 8:15 am will be removed from the team list). We would like to remind you that check-in and inspection closes at 8:15 am, as we must make match schedules as early as possible. If your team is running late, you MUST email [email protected] or you will be removed from the tournament. All engineering notebooks will be collected for judging when the robot has completed inspection and will be returned around the end of the tournament (online notebooks may be submitted via robotevents as well).
Queuing
Our tournament this year will be using queue runners to inform teams FOUR matches ahead of time, to account for the walk from the pits to the fields (from the aux gym to the main gym). Thus, teams will arrive TWO-THREE matches before their match and be placed “on deck”. Once that match is complete, the team will be moved up to “standby” (one match before the team’s match). Then they will be moved onto the field when ready. If the team is not ready, cannot be found at their table, or does not show up to the queue tables, the match WILL be run without them. We require that each team has at least one person stay at their pit to make sure that the team knows when they have to queue. We want to make it clear that NO team will be allowed to replay matches for any reason other than field and/or technical problems.
Match Disputes
Referees will determine the score of matches right after they end using rules provided by the most current version of the game manual. Teams will be provided UP TO 5 minutes for match disputes. After that, the score will immediately be finalized by the referee and teams will need to move their robot off of the field. Failure to comply with the 5 minute limit will result in team consequences.
Judging
This year, we will have teams sign up for judge interviews throughout the tournament. It is up to the team to schedule a slot for their team interview. More information about interviews and engineering notebooks can be found under "Judging".

Emergency/Bad Weather Policy
As our tournament is held entirely inside our gyms, we will be protected from most weather. However, in the case of bad weather conditions or possible cancellations, please check here on robotevents.com where updates about the event status will be posted as needed. Event Partners will also make every effort to reach teams directly in case of an emergency. Make sure your team contact information is up to date in your robotevents.com account, as this is the information that will be used to contact your team.
Refund and Payment Policies
All payments must be made by Saturday, October 14th. Any teams who haven't paid by then will be placed onto the waitlist.
To encourage teams to fully prepare and field a robot for their registration spot, refunds will be available only to teams that cancel 2 weeks before the event date. Therefore, any cancellations after 10/15 will not qualify for a refund.
*The registration contains a $5 RobotEvents processing fee that is not refundable
