General Info
Waitlist:
Any open spots will be given to teams that have been added to the wait list on a first come first serve basis. They may remain open for a moment as I verify with the coach that they still wish to be added prior to putting them into the pool of teams. If you wish to have your teams added, please do not email and request, simply hit add to the waitlist. If a spot opens up they will be added.

Battle by the Beach will be hosted at Texas A&M Galveston. It will consist of two blended events VEX IQ's Full Volume & VEX VRC's Over Under.
Our Staff:
We have some amazing referees who have been in the VEX game for longer than anyone around. They recently volunteered at the World Championship in Dallas and are amazing! A few are actually former World Champions! One has refereed multiple Signature Events and is also a VEX Worlds Head Referee.
Our judges will be current students and staff from Texas A&M and volunteers from all over. Students will be able to ask them questions as well; and are highly encouraged to prepare a list of questions that they would like to know about typical college life, tough assignments, or the campus itself.

Our event will be live-streamed on YouTube. Links will be posted and shared prior to the event.
Fun Stuff To Do!
Sea Life Facilities:
Students will be provided walk-through tours of our sea life facility from 9 am- 4 PM Friday. More detailed tours will be provided to those who sign up at the event. The detailed tours will be limited and are on a first-come basis. Space is limited.
Ship Simulators:
Ship simulators will be open for tours from 10:30 AM - 4:00 PM on Friday.In-depth, training will be provided to interested students on Friday from 5 PM- 6 PM. A sign-up will be on sight and provided on a first-come basis. Space is limited.
Sea Camp Dissections:
Opportunities to explore cartilaginous fish and the bony fish will be available from 9-5 Friday. These will be walk-up labs and no scheduling is needed.
Vendors:
Vendor exploration will be set up in the Flag Room. Vendors will have booths for students to navigate throughout the day.
There are a plethora of hotels to choose from that your teams and families will receive discount codes for! In addition, Visit Galveston has secured special QR codes that will be shared with all registered teams to provide discounts for dining, and entertainment such as the Pleasure Pier, Moody Gardens, and local museums.

Drive Team Meeting:
To simplify the day of the event and really give our teams the opportunity to think up some good questions for our coaches, the Google form must be completed prior to October 20th. Please list which game your question is pertaining to. A link with the drive team meeting will be sent out to the email associated with the account prior to the tournament. This will also be posted to Slack. This will be a prerecorded video that teams can watch at their leisure. This way, students are afforded more time to explore all that the event offers.

Volunteer
High-quality events rely on volunteers! Even if you have a team registered, there is a job for you. Please share with the groups that will be traveling with your teams. A lunch and shirt will be provided to all volunteers.

Emergency/Bad Weather Policy
The event will be held inside. We will follow city guidelines for emergency weather policies. In the event of a cancelation, I will do my best to reschedule with the venue. Please note this is not a guarantee.
Refund and Payment Policies
If the Event Partner cancels the event: a full refund will be issued
If a Coach/Mentor completes registration for the event and then chooses to withdraw or not attend: there will be no refund.
Health and Safety Policies
There will be multiple pediatricians on site for emergency situations. A&M and GISD will have a medical plan on file. For minor scrapes and cuts each TM table is fitted with a first ade kit. Each Team will have to submit a waiver for the facility as well. These will be provided upon registration.

Judging Format
- All Remote Judging - The Initial Team Interviews will be conducted remotely, and Engineering Notebooks will be submitted to judges digitally via a link found within the "My Account" panel of the team contact on RobotEvents. Initial Interviews and Notebook submission deadlines will be October 27th- 3PM central
- Interviews will start October 2nd and will be conducted throughout the month. Sign ups links will be shared soon so keep an eye on the email associated with your registered team
Payment
If payment is not made by October 27th, your team will be dropped to make room for teams on the waitlist.
Signature Event Early Bird Policy
- All Signature Events will have a specific Early Bird Registration that is independent of all local/regional Early Bird systems
- Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period
- An opportunity is taken away each time the team registers for a Signature Event, whether during the Signature Event Early-Bird period or Standard period
- A Signature Event Early-Bird opportunity is not taken away if a team registers for a tournament hosted by their school or organization (where the team’s coach is the Event Partner)
- Early Bird Registration will open 16 weeks before the event at 12:00PM EST
- Note: Modifications to this may be made for events in August and September
- Standard Registration will open 14 weeks before the event at 12:00PM EST
- An Event Partner may register their own teams to their Signature Event during Signature Event Early Bird Registration no matter how many other Signature Events they are already registered for
- The Event Partner must be the Primary Contact for the teams they are registering
- Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period
