Aloha,
Thank you for registering your team for the Big Island East VRC In-Person Tournament with Judging. We look forward to welcoming you and your team and are excited to see them compete! Our top priority is ensuring a successful championship that encompasses high quality matches, ethical judging and awards, and a safe competition environment. Please take a few moments to review the important information below and contact the event partner with any questions you may have.
HEALTH AND SAFETY PROTOCOL
Please be aware that this in-person event will require:

All persons must wear a face-covering while on the event site premises that covers both the mouth and nose.

All persons must provide one of the following at the entrance to the event site:
-
Proof of full-vaccination.
-
Written medical exemption from a licensed physician; AND proof of a covid-19 test with negative results taken no earlier than 48 hours prior to the event date. (more info here)

All participants will be regularly asked to use hand sanitizer when interacting with high-touch surfaces.

All persons will submit to a temperature check prior to entrance.
Persons that are exhibiting covid-19 like symptoms will not be allowed to enter the facility:

Fever (higher than 100°F or hot to the touch)

Chills
-
Cough
-
Shortness of breath or difficulty breathing

Fatigue (tiredness, weakness)

Muscle or body aches
-
Headache
-
New loss of taste or smell

Sore throat

Congestion or runny nose

Nausea or vomiting

The event partner reserves the right to refuse entry to any person(s) that do not comply with the health and safety protocol outlined above. No refunds will be provided to teams or individuals that are refused entry.
SPECTATORS
The tournament is an in-person event but not open to the public for spectating; only team members and their registered coaches should plan on attending in-person. The championship committee has planned our attendance count and space allocations for one coach and up to three students per team. If your organization requires additional persons to be able to enter the event site, please contact the event partner and inform them of your intentions.
The event will be available for viewing via live stream. Please see the live stream / webcast page on RobotEvents for access a few days prior to the start date for an active link.
PIT TABLES / CHARGING STATIONS
We will provide a pit area for your team which will include: one table and four chairs.

Pits are pre-assigned to assist judges and event personnel with locating your teams.

Do not move/swap/change your assigned pit tables including within your own organizations.

Keep your pit signage visible and uncovered.

Keep your pit area free of food and uncapped drinks; only water is permitted inside the venue.

Store personal belongings and high-value items securely.
-

Do not bring or set up your own VEX IQ / VRC Field.
If your team requires special accommodations to your pit area please inform the event partner as soon as possible so that we can make every effort to provide these accommodations to your team.
Charging stations will consist of a shared charging space that will be utilized by all teams in attendance.

Bring your own surge protector to connect to the charging station.

Be considerate of other teams; don’t hog the outlets.

Do not linger in the charging station; return to your team’s pit whenever possible.
JUDGING / AWARDS
We are committed to ethical and fair judging. All referees will be certified through the VEX Robotics certification course.
Teams attempting to receive a judged award should carefully evaluate themselves with the judging rubrics outlined here: https://www.roboticseducation.org/documents/2020/06/engineering-notebook-and-team-interview-rubric.pdf/
Notebooks will be accepted electronically only; teams with physical notebooks will need to scan or take photos of their written pages. Notebook submissions will open two-weeks prior to the event date and close one-week prior to the event date. A detailed email with instructions for submission will be sent to the primary contact on RobotEvents prior to the submission period.

The event partner will contact teams if the event must be postponed. Teams should make sure their contact information is up to date and includes both school and non-school phone numbers.

Due to fixed costs refunds will not be provided and are made at the discretion of the event partner.
