General Info

Thank you for your interest in the Northeast TN Season Kickoff hosted at Sullivan East Middle School of Bluff City, TN.! This tournament gives teams in NE TN the opportunity to get an early look at the competition, participate in live play, engage with judges, and get a true feeling for what the season will look like.  Teams participating in early season events have the advantage of understanding how their robot design performs during actual match play. This advantage allows them additional time to revisit design ideas, make changes, upgrades, or hone driving and programming skills. 

All approved events and event attendees are required to follow all local, state, federal, or any other government ordinances regarding COVID-19 safety procedures, social distancing, and best hygiene practices. Event Partners should continually assess, based on current government guidelines, whether to postpone, cancel, or significantly reduce the number of attendees when necessary. 

Participants are also required to submit the VEX liability release form electronically.

As with last season the event will be live streamed.

This tournament will have Qualification matches, Alliance Selection, and an Elimination Bracket. Skills Challenges will be available to teams once they have passed inspection until 2:00PM. Judged awards will be given at this event. In order to offer an Excellence award for both middle and high school we will need 10 of each to register for the event.

Please keep in mind this schedule is tenative. Teams need to be prepared for inspection as soon as they arrive as inspection will close at 9:25AM promptly. Teams need to be prepared for judges to interview them in the pit area at all times. 

Volunteer check-in 7:30 AM 

  • Judges are required to arrive at 7:00 AM for training and to begin interviews with teams in the pit area. 

Team Check-in 7:00 AM

Inspection 7:15 AM - 9:25 AM

Skills runs : The skills field is first come first serve. The field will be open at 7:30 (once a team has passed inspection) and will be open until 2:00PM (the skills field will be closed during the drivers meetig). If a line forms, teams will be asked to move the the end of the line. If no one is waiting, teams will be allowed to complete multiple runs.

Drivers meeting 09:30 AM

Qualifying Matches 10:00 AM - 12:00 PM

Lunch 12:00 PM - 1:00 PM (Judges final interviews may take place during and after lunch)

Qualifying matches resume at 1:00 PM and run until all matches are finished (we plan for each team to run 7 to 8 matches)

Skills closes at 2:00 PM regardless of teams having completed their skills runs

Alliance Selection 2:15 PM

Eliminations 2:30 PM - until finished

Awards 4:00 PM

Closing Remarks 4:30 PM

Clean-up 4:30 PM until done

Volunteer

Running an event takes many volunteers. We are always in need of volunteers to assist the day of the event. Lunches are provided for all volunteers in addition to drinks and snacks the day of the event. 

Volunteers for the event will need to be present by 8:00AM until the end of the event which is normally around 4:30PM.

  • In order to offer judged awards at the event, the event partner asks that each team provide one adult volunteer to aide with this process.
    • Volunteers for the judges role must be 18 years of age or older an not in high school
    • High school team volunteers will judge ONLY middle school teams.
    • Middle school team volunteers will judge ONLY high school teams. 
  • Field reset volunteers are needed and can be range from upper elementary to adult ages. 
  • Scorekeepers are needed and ages can range from highschool to adults ages.

Emergency/Bad Weather Policy

Sullivan County Department of Education will require the event to be canceled due to inclement weather. Please watch for an update from the event partner if the event must be rescheduled or canceled due to weather. 

Covid -19 creates many questions for coaches and event partners. Please know we want students to be safe and healthy. If the event must be canceled due to the number of Covid-19 cases for the area, we will work to reschedule the event as soon as possible. 

Your understanding during these difficult times is greatly appreciated. 

Refund Policy

No refunds will be given for teams regardless of the reason once the event closes. No refunds will be given for teams that pay in advance via RECF. If you have prepaid, you will be given the opprotunity to attend another event for the 2021-2022 season without paying for that event.

As with last season, we are unsure of how COVID-19 will impact the tournament season. Our goal is to host all of our events as long as policy will allow. Even if it means the event is closed to spectators and/or limited to the number of adults per team permitted in the facility. For this reason it is our suggestion that payments made the day of the event.Teams that have not either prepaid or provide a check the day of the event will not be allowed to particpate. 

Teams that are unable to attend due to Covid-19 will need to reach out to the event partner so they can move the team to the waitlist and open spots for other teams to compete. These changes need to be made prior to the event closing.

Health and Safety Policies

Please contact the event partner in advance via email if you have any accomodations needed for your team members, etc. 

Remember that Covid-19 may impact the event. We are currently under no restrictions, however, that could change at any moment. If changes are made within our district regarding face mask, limited capacity, and/or social distancing measures the event partner will email the coaches as soon as possible. Be mindful that changes are happening daily in our state. Be patient and understanding as we continue to navigate through the Covid-19 pandemic.
