All Abooaaaard!!!  Get ready to take a ride on the Seymour Arctic Express! 

 

Time is running out!  Grab your tickets and your robot luggage and hop on board for chance to qualify for the State Championship.  We are located about an hour south of Indy and an hour north of Louisville along 65.  Click on one of the underlined links below for more information.

Please Note: The schedule above is subject to changes.  It is based on 40 teams running 4 minute match cycles. We will aim to make any adjustments and post them here by noon the Thursday before the tournament.

 

We plan to have 1-2 skills fields, 3 competition fields, and 1 practice field.

 

We plan to have a table with judges available for interviews when students are ready. 

 

Food will be available at our Concessions Stand.

 

We will be intentional to stay on schedule and make the best use of time at the event.  Students should watch the displays that will be visible from the Pits and make sure to be in place at the Queueing table, so they don't miss their match time and end up with a no-show score.

Volunteers that serve all day, we will pay for your lunch at the event. 

 

We are open to hosting VURC Skills runs in exchange for volunteer time. 

Emergency/Bad Weather Policy

In case of bad weather conditions or possible cancellations, please visit the event on Robotevents.com (here) where I will post updates about the event status in the General Info Page.  I will also send an email to coaches on the contact list.

 

We are hearty people down here, we like robotics, and it's gotta be a lot of snow or ice to stop this train in it's tracks. 

 

Refund Policy

Refund and Payment Policies

Event payments are expected to be paid when you register for the event.  Teams that have not paid prior to January 17th will be moved to the waitlist to allow teams on the waitlist to register.

If the Event Partner cancels the event: 

All refunds will be repaid minus 5$ (per team) with checks sent out within 1 month of the cancellation.

 

If a Coach completes registration for the event then chooses to withdraw or not attend: 

All cancellations and requests for refunds must be completed prior to January 17th. Refunds will be processed within 1 month following the event.

 

All teams need to be present and checked in prior to the start of the Opening Ceremonies. Refunds will not be issued to teams who cannot compete because they arrived after competition rounds have begun.

Parking:  The school has 2 parking lots.  If they are full feel free to park legally on Obrien St.  There is also a small teacher parking lot to the north of the building. Please do Not park beyond that teacher lot in the Boys and Girls Club parking lot since we do not know what events they may have that day.

 

Buses: Please enter the school grounds from the North via Obrien St.  There is a skinny one way lane before you reach the main driveway.  Pull your bus all the way in to the front, but just before the parking spots start on your right.  Subsequent buses, pull up behind the bus in front of you.  If there are no more spots in this lane, please park along the sidewalk closest to the building (the sidewalk in the North Parking lot).

Judging Format

 

This event will feature a hybrid judging model, with Digital Notebook Submissions and In-Person Interviews of teams.

 

Notebook Submission

 

Notebooks must be submitted digitally through robotevents.com. The deadline to submit a notebook is Feb 1st, Noon.  There is a link on the "My Account" panel.  Notebooks should NOT be emailed to the Event organizers.  They can only be submitted through Robotevents.com.

 

Team Interviews

 

Each team will have the opportunity for an in-person interview during the tournament.  We will have judge interview tables with judges ready to interview during the event.  It will be your team's responsibility to connect with them before the end of qualification matches if you would like to be interviewed.
