General Info

Welcome to the VEX VRC Robotics event RE-V5RC-24-6994: Maxwell AFB and MPS VEX V5 Robotics Competition on Saturday, February 1, 2025.  This is a VEX VRC/V5 event open to any middle or high school team participating in VEX VRC competitions. 

This event will be held on the grounds of Maxwell AFB.  As an Air Force installation, there are specific requirements for visitors.  All visitors will need to gain access to the base.  This is done by U.S. citizens by submitting information on this form and by Foreign Nationals on this form.  A form must be submitted for every person 16 years and older who wishes to attend the competition and does not already have base access.  The deadline to submit the form is January 10, 2025.  If, for some reason, you do not pass the vetting process, we will do our best to notify you before the event.  Please include your email on the form in case we need to contact you regarding base entry.  

Just a reminder that all competitions, including this one, are student-centered events. Only students and coaches are allowed in the pit area, robots are built and programmed by students, and students advocate for themselves after matches if there is a question about scoring or rules. Parents and other guests are welcome to watch from the stands, subject to any district restrictions.

Note: Notebook judging will be in-person using hard copy. It is acceptable to print a digital notebook and place the pages in a binder.

Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

Volunteer

We greatly appreciate awesome volunteers! Contact Dr. Profio ([email protected]) if you are interested in volunteering. This is a great opportunity for high school students seeking volunteer hours. We also need STEM professionals (e.g. engineers) to help judge team notebooks.

Emergency/Bad Weather Policy

In the event of bad weather, the event may be postponed. All coaches will be updated as soon as any changes happen.

Refund and Payment Policies

It is expected that teams utilize the RobotEvents system to handle event payments prior to attending the event.  In all cases, each registration contains a $5 RobotEvents processing fee that is non-refundable.  

If the Event Partner cancels the event: 

Refunds will only be issued if the tournament is canceled and not rescheduled. 

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

Withdrawals after registration will not receive a refund.

No refunds will be provided for registered teams that do not withdraw in advance and then do not attend on the event day. 

Judging Format

 In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
