General Info

Welcome to the 5th annual Hall VRC Qualifier. This season opener will bring together teams from around New England. Our event is a qualifier for the Connecticut State Championship.


Concessions (TBD) will be available all day.


REFUND POLICY:
Refunds will be available to teams that request cancellation of registration 7 or more days prior to the event. No other refunds will be processed. Refunds are processed by Hall Robotics not the REC Foundation.

Code of Conduct

This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

Friday 10/18/24

  • Prep & Set Up -- 3:00pm - 5:00pm and/or 5:00pm - 7:00pm

    • Help organize Hall Robotics team members as they: Unpack the VEX trailer, Set up Pit/Practice Area in Cafe, Set up Main Fields in Gym A, Set up Skills field in Gym A, Set up Judges Area in E125, Set up concessions in the Cafe (no special training needed)

 

Saturday 10/19/24

  • Team Check-In -- 7:00am - 9:00am

    • Welcome teams as they arrive at the event. Verify each team’s information and adult team contact person. Collect Engineering notebooks, Consent Forms, event registration fees and/or other information or documents.  (no special training needed).

  • Inspection -- 7:45am - 10:00am
    • Conduct inspections to verify the robots comply with the rules and specifications outlined in the official game manual. Use the Robot Inspection Checklist to ensure compliance. Work with teams having difficulties to help them pass inspection. (day-of training provided)
  • Skills Field Official (All day commitment) -- 8:30am - 2:00pm
    • Use the Tournament Manager software to initiate skills and record scores. Coordinate with the Head TM Operator. Activity Level: Low (mostly sitting). Experience Level: Intermediate. (day-of training provided, pre-training available)
  • Judging (All day commitment) -- 8:00am - 3:30pm
    • Review Engineering Notebooks Judge presentations in-person, observe teams on the competition floor, walk around to interview teams in the pit areas. (day-of training provided, pre-training available)
  • Match Queuing, Field Resetting, Score Keeping -- 8:30am - 4:30pm (3-hour shifts)
    • Line up (queue) teams for each match from the queue tables to the game field to help keep matches on schedule. Ensure robots are in order according to the Match List report and aligned with the correct game field. (day-of training needed)
    • Accurately reset scoring objects and game elements on the VEX competition fields after each match. (day-of training provided)
    • Record scores using an app. Verify recorded scores with other officials as needed, and with the student drivers after each match. Discuss possible rule violations with the Head Referee after the match. Ensure the field is set correctly. (day-of training provided)
  • Concessions -- 7:30am - 4:30pm (3-hour shifts)
    • Serve drinks, snacks, & lunch meals. Collect cash, venmo payments. (no special training needed)
  • Take-Down & Clean Up -- 4:00pm - 7:00pm
    • Help organize Hall Robotics team members as they: take down Pit/Practice Area in Cafe, take down Main Fields in Gym A, take down Skills field in Gym A, clean up Judges Area in E125, take down concessions in the Cafe, prep the VEX trailer for repacking. (no special training needed)

Emergency/Bad Weather Policy

In the event of bad weather, changes to the schedule will be emailed to team contacts.

Options

  1. Event may be delayed to allow additional time for travel.
  2. Event may be cancelled due to the weather.

Announcements will go out by 6:00AM the morning of the event. All teams are encouraged to use their best judgement when deciding to attend.

Refund and Payment Policies

REFUND POLICY:

If the Event Partner cancels the event: 

In the case of the event being cancelled by the event partner, refunds will be offered less the Event Partner expenses.

 

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

Refunds will be available to teams that request cancellation of registration by Friday 10/11/2024 at 3:00pm. No other refunds will be processed. Refunds are processed by Hall Robotics not the REC Foundation.

Judging Format

  • All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
