General Info

Hello everyone,

This is Dice, the Event Partner for the World Championship Qualifier to be held on January 11th at Tokyo Metropolitan Kuramae Technical High School.
To ensure the competition runs smoothly and teams can focus on their matches, here are six important announcements:

1. Engineering Notebooks

The judging of the Engineering Notebook will be conducted remotely. Teams are required to submit their Engineering Notebook in advance for evaluation. Notebooks brought on the day of the event will be considered for team appeal but will not be subject to judging. Please ensure to submit your Engineering Notebook in PDF format by 5:00 PM on Wednesday, January 8th. To allow teams to focus on the competition on the event day and to ensure fair judging, the notebooks will be reviewed prior to the event. Teams using a web-based Engineering Notebook can submit directly from your account on RobotEvents.

2. Lunch

The entry fee does not include lunch. We will be ordering lunch from a nearby bento shop. Please place your order here. The deadline for lunch orders is 5:00 PM on Tuesday, January 7th. Note: There are no vegetarian or gluten-free options available, so please bring your own lunch if necessary. There are vending machines on the campus.

3. Indoor Shoes

Outdoor shoes are strictly prohibited indoors. The floors are not equipped with heating, so it can get very cold. Please make sure to bring indoor shoes. If you don’t have indoor shoes, bring clean shoes with no dirt on them. Please refrain from using the shoes you wore to the venue.

4. Consent Forms

Some teams have not yet submitted their consent forms. These forms include important information regarding safety, liability, image rights, and participation eligibility. All team members, including instructors, must submit the form. As parental consent is required, please ensure the forms are submitted in advance. Teams without submission will not be allowed to participate.

5. Volunteers

This competition requires many volunteers. Each team must provide at least one volunteer. For volunteer roles, please check on Discord or apply directly here. If anyone from your team is unable to provide a volunteer, please contact Shige, the volunteer coordinator.

6. Entry Fees

Some teams have not yet completed their payment. Please process your payment immediately using the link. On the day of the event, payments at the venue cannot be accepted due to security reasons.

Each team is required to provide at least one volunteer. YSE is also recruiting volunteers throughout the season. Please click the "here" link above and submit your application via the volunteer registration form. The landing page is divided into sections for first-time volunteers and experienced volunteers. You can also choose the dates when you are available to volunteer.
Whether you're an instructor, a parent, a relative, a friend, or even a sibling of a team member, anyone can participate. As the competition approaches, the event management team will reach out with specific volunteer roles.

Emergency/Bad Weather Policy

In the event of severe weather, earthquakes, or other circumstances that may disrupt transportation, the event may be canceled. In case of an emergency, the situation will be posted on the homepage. Additionally, we will contact the teams through the information registered on their robotevents.com accounts, so please ensure that your team's contact information is up to date.

悪天候や地震などが原因で、交通機関が麻痺する場合は、イベントを中止する可能性があります。緊急事態の場合、トップページに状況を掲載します。また、robotevents.comアカウントに登録されているチームの連絡先に連絡をするので、チームの連絡先情報が最新かどうかを確認してください。

Refund and Payment Policies

If the Event Partner cancels the event: Refunds will be made at the discretion of the Event Partner and only in the case of an emergency.

If a team completes registration for the event and later chooses to withdraw or not attend: Regardless of the circumstances, if a team wishes to cancel their participation and request a refund, they must do so by 30 days prior to each event before the Event Partner cancels. No refunds will be issued for non-participation beyond the 30-day deadline. If a refund is approved, it will be processed within one month from the date of the refund request. Please note that the refund amount will not be the full payment, as it will be adjusted for payment system fees, schedule change fees, differences in currency exchange rates if applicable, and any bank transfer fees incurred.

イベント主催者がイベントを中止した場合: 返金はイベント主催者の判断により行われ、緊急事態がある場合のみ行われます。

イベントへの参加登録を完了後、参加を取り消すか参加しない場合: いかなる状況でも、主催者側がイベントを中止する前に参加を取り消し、返金を希望するチームは、各イベントの30日前までに申請する必要があります。 30日を過ぎてからの不参加の場合は返金はされません。 返金を承認した場合、返金は申請日から1か月以内に処理します。また返金は全額ではなく、決済のシステム使用料、スケジュールの変更手数料、為替が影響する場合の差額、あるいは振り込み手数料など、一部返金されない金額をが差し引いて返金します。

Judging Format

In this competition, the team representing Japan at the World Championship will be determined. To earn the qualification, it is essential to win the Excellence Award, which is decided by the judges. The evaluation of the engineering notebooks will be conducted remotely in advance, and the judges will conduct a 15-minute interview on the day of the event. On the day of the competition, each team is advised to prepare in advance for the interview to make the most effective use of the limited time.

この競技会では、世界大会に出場する日本からのチーム代表を決定します。出場権を獲得するには、ジャッジが決めるエクセレンスアワードが必須です。エンジニアリングノートブックの審査は事前にリモートで行い、ジャッジによるインタビューはイベント当日15分間行われる予定です。競技会当日、各チームは、限られた時間を有効的に活用するため、予め、インタビューに答える準備をしておくことをお勧めします。

Participation fee is 20,000 yen per team.

Since YSE events held in Japan cannot use the Robotevents payment system, we have implemented the system provided by Metaps Payment Inc. As it does not support multiple languages, we have prepared a user manual in English. Please select "Documents" from this content block, download the PDF titled "Payment Methods," and refer to it for payment instructions.
For security reasons, cash payments at the venue will not be accepted. Please make your payment via the above link by the due date.

Student-Centered Zone

At competitions hosted by YSE, we have established a "Student-Centered Zone." In this zone, coaches, mentors, and parents, among other adults, are restricted from staying in the pit area for more than five minutes.
While the establishment of this zone is not an official regulation of the REC Foundation, it is implemented based on the "Student-Centered Policy." For more details on the "Student-Centered Policy," please click here.

We kindly ask all adults to support teams in accordance with the "Student-Centered Policy," respecting the autonomy of the students. Specifically, actions by adults that interfere with the students' learning process, such as making adjustments to the robot or modifying programming, are prohibited by the rules. If misconduct is identified, it will be reported by the event staff to the Judge Advisor (or to the Head Referee or Event Partner if judging is not applicable), which may impact the team's evaluation. Furthermore, if repeated warnings (three or more) from event staff do not lead to improvement, the team in question may be disqualified (DQ), losing eligibility to participate even during the competition, which could also affect their ranking. Please exercise caution and adhere to the rules.

The reason for introducing this initiative is the current situation where many adults do not fully understand the "Student-Centered Policy." To prevent adults from staying in the pit area for extended periods during the competition and hindering students' interactions and growth, we have implemented the "Student-Centered Zone." This initiative aims to provide an opportunity for deeper understanding of the policy while promoting students' independent activities.

大人の皆さまには、「Student-Centered Policy」に従い、子どもたちの自主性を尊重したサポートをお願いしています。特に、大人がロボットの調整やプログラミングの変更など、子どもたちの学習プロセスを妨げる行為はルールで禁止されています。不正行為が確認された場合、運営スタッフからジャッジアドバイザー(ジャッジングがない場合はヘッドレフリーまたはイベントパートナー)に報告され、チームの評価に影響を及ぼすことがあります。さらに、運営スタッフから繰り返し(3回以上)注意を受けても改善が見られない場合、該当チームは失格(DQ)とみなされ、競技途中でも参加資格を喪失し、順位に影響が及ぶ可能性がありますので、十分ご注意ください。

この取り組みを導入した背景には、多くの大人が「Student-Centered Policy」を十分に理解していない現状があります。競技中に大人がピットエリアに長時間滞在することで、子どもたちの交流や成長が妨げられることを防止するため、「Student-Centered Zone」を設けました。これにより、ポリシーの重要性をより深く理解していただく機会を提供するとともに、子どもたちの主体的な活動を促進したいと考えています。
