All attendees are expected to abide by the code of conduct. All participants are expected to complete the participant release form  and submit ONLINE by the team coach for this and future events! (NOTE: You MUST know your full team number ex:4330X in order to complete the online form)

The teams coach who is officially listed in robotevents as the primary contact receives all team emails, so read the email titles and content carefully, and ensure your IT does not block emails from robotevents.com and roboticseducation.org  or from [email protected]

Competition Preparation

All teams should come prepared for competition. Here are a few steps that every team should take to ensure that they are prepared.

  1. Review the rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments. Robots must use VEX V5 parts. Please self inspect before arriving at the tournament using the V5 Robot Inspection Checklist

  2. Check the official VEX forums for rule updates and changes.

  3. Carefully read all of the information contained in the tournament posting on robotevents.com

  4. Pack for the event the day before the day of departure. Here are a few items that you don't want to forget.

    • Goggles/Safety Glasses

    • Spare parts & tools

    • Batteries and chargers

    • Power strip and extension cord

    • Laptop computer

    • Programming cable

    • Engineering notebook 

    • Banners and other decorations for your team pit table

  5. Be sure to read VEX Tournaments 101 Before Your First VEX Tournament.

  6. Review the descriptions and criteria for the awards that are being given during the tournament.

  7. Prep for your interviews with the judges and read the Judge's Guide. Check the awards tab to see what awards will be given during the tournament.

  8. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby, as teams are close to each other in the venue pit area.

  9. Ensure that you have the latest version of programming software and firmware for your V5 Brain.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Doors open 7:30 AM (Check in and inspections open immediately)

Check-in until 8:30 AM  (FIRM--if you hit traffic, you MUST email [email protected] to be able to do skills)

Skills field opens at 8: 30 AM

Inspections COMPLETE at 8: 30 AM (Again, this is FIRM--bring robots ready to compete)

Driver's meeting 8:40

Qualification Matches begin at 9:00 AM

Lunch break 11:30-12:00

Qualification Matches end at 2 PM

Skills field close at the end of the last Qualification Match. 

Alliance Selection at 230 PM.

Elimination Matches Begin at 3 PM

Awards Ceremony at 430 PM. 

Volunteer

Volunteers are the heart of every VEX competition--without them the event simply cannot function. In a perfect world, every robot team would provide at least 2 adult volunteers at every event.  We would be grateful to anyone who wishes to help out.  However, we require that all volunteers be registered in advance--contact [email protected] with the subject "Volunteer for Febraury 8, 2025" ASAP if you would like to help out at this event.

There are lots of different roles that need to be filled, with varying degrees of expertise and physical activity. Check out the 'Volunteer Roles

Emergency/Bad Weather Policy

If conditions require (a hurricane, for instance) the event will be CANCELLED and your registrations refunded (less the fees incurred by robotevents.com).**

**From Robotevents.com: There is $5.00 USD fee, per registration, that will be withheld to cover website maintenance, processing fees, reporting, accounting, and system updates.

Refund and Payment Policies

Payment deadline for all teams is Jan 25, 2025.  If registration fee is not paid by the payment deadline , the Event Partner reserves the right to put the team on the waitlist. 

Refunds* will ONLY be issued in the cases of an event cancellation.

According to RECF policy, $5.00 of each registration is used by their organization for processing and is NOT REFUNDABLE.

 

 

 

Judging Format

Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents. The submission deadline for digital engineering notebooks is January 24, 2025.
