General Info

Welcome to the Defrost Your Skills: Channahon Winter Tournament! We are so excited to be hosting this event, look forward to having you be part of the fun, and hope that this event will provide additional opportunities for team growth! The best part, though, will be seeing all the amazing designs and hard work teams have put into this season!

Registration Information

All participating teams must be registered with VEX Robotics and the Robot Events website and have an official team number before registering for this event. Tournament fees must be paid before teams are allowed to compete. Registration and payments should be made through the Robot Events website.  See detailed refund and payment information on the "Refund and Payment Policies" tab.

Engineering Notebooks

We will be collecting physical engineering notebooks at this event for judging. Notebooks must be turned in at check-in.

Skills & Matches

The number of matches will be determined by the number of teams in attendance. Teams will have the opportunity to complete up to 3 Driving and 3 Programming Skills Challenge attempts.

Concessions

Concessions will be available for purchase.

Competition Preparation

All teams should come prepared for competition. Here are a few steps that every team should take to ensure that they are prepared.

Review all game information: Current Game Webpage

  1. Review the rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments. Robots must use VEX IQ parts. Please self inspect before arriving at the tournament using the IQ Robot Inspection Checklist

  2. Check the official VEX forums for rule updates and changes.

  3. Carefully read all of the information contained in this tournament posting.

  4. Pack for the event the day before the day of departure. Here are a few items that you don't want to forget.

    • Spare parts & tools

    • Batteries and chargers

    • Power strip and extension cord

    • Laptop computer

    • Programming cable

    • Engineering notebook (Required for judged awards)

    • Banners and other decorations for your team pit table

    • Giveaways if you have them

  5. Parents be sure to read VEX Tournaments 101.

  6. Review the descriptions and criteria for the awards that are being given during the tournament.

  7. Prep for your interviews with the judges by reviewing Team Interview resources.

  8. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby, as teams are close to each other in the venue pit area. Also, remember no grinding or other actions that create sparks.

  9. Ensure that you have the latest version of programming software and firmware for your IQ Brain.

Participant Release Form

A completed form for all participants must be uploaded to robotevents.com prior to the tournament. Team leaders will need to check that all team members attending the event have completed the online consent form prior to the tournament. Instructions on how to complete the form can be found here.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

IMPORTANT! If your team is not checked-in on time, the match schedule will be run without your team, and they cannot compete. The match schedule CANNOT be run after the tournament begins.

 

8:30-Doors in both the front and back of the building will open to start check-in, inspection, skills challenges, and judging. After check-in, each team will be provided with a designated pit area for you to set-up.

9:00-Drivers’ Meeting

9:10-Opening announcements

9:15-Start of Qualification Matches

12:00-1:00-Lunch Break

12:30-Both Skills Fields Open during lunch

1:00-Qualification Matches Resume/Skills Challenges Continue

2:00-Skills Challenges End

3:00-Finals Begin-Some awards will be handed out between Finals Matches

3:45-Final awards handed out/Closing Ceremony

Emergency/Bad Weather Policy

This event cannot be rescheduled. If weather conditions do not permit us to run the competition, we will cancel and refund the registration fees minus the $5 Vex fee.

Refund and Payment Policies

If the Event Partner cancels the event, full refunds, excluding the $5 handling fee which goes directly to VEX, will be made to all organizations/teams.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend, a refund, minus the $5 handling fee, will be given if other teams from the Waiting List can fill the spots. If there are extenuting circumstances, the Event Partner will consider whether a refund is appropriate. Refunds in this instance will be rare.

Judging Format

This event will hold all in-person judging. Team interviews and engineering notebooks will be judged in-person the day of the event.

Physical copies of the notebook are the only format that will be accepted. Teams must bring a physical copy of their notebook to the event. All notebooks must be submitted upon arrival and check-in!
