General Info

A coaches/advisors hospitality room will be available, but WILL NOT include a meal at lunch. Snacks, drinks and bottled water will be made available for coaches and advisors. Please help us keep student competitors in the contest/pit area. The hospitality room is for coaches, advisors and volunteers only.

Food trucks will be on site during the contest.

Digital notebooks will be submitted utilizing the instructions in the "Judging Format" link on the left side of this page. Please note the deadline to submit the digital notebook is Wednesday, November 13th at noon Central time. Notebooks with a submission date/time stamp after the deadline specified will NOT be considered for judged awards and will not be reviewed. No exceptions.

Code of Conduct

This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

Volunteer

Volunteers enhance the ability for the event partners to conduct robotics events and without qualifty volunteers the events could not be held. If you would like to serve as a volunteer with this event, please reach out to Dr. Chet Nicklas,  [email protected] prior to the event and offer your services. Any volunteer service will be greatly appreciated.

Emergency/Bad Weather Policy

In the event of inclement weather this event will be cancelled. A final call on the cancellation will be made no later than noon, Friday November 15th and email will be sent to all registered teams at that time. No phone calls will be made. Please ensure that you have a primary and secondary point of contact for each team you represent in the event this plan must be initiated. Please be checking your email as well in the event the weather appears to be a limiting factor.

Refund and Payment Policies

If the Event Partner cancels the event: 

If the event is cancelled by the Event Partner no refunds will be awarded.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

If the Coach/Mentor completed registration for the event and does not attend or withdraws, no refund will be made. Registration fees can be reallocated to a different team from the same school that is added to the event (a substitution), but only one substitution can be made.

 

Judging Format

Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event (see the posted agenda). Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents. The submission deadline for the engineering notebook will be Novemerb 13th at noon, CST. Notebooks with a date/timestamp after this time will NOT be considered for judged awards, no exceptions.
