General Info

West Hills Elementary is excited to offer its 2nd annual Battle at the Bear's Den event at Bearden Middle School (1000 Francis Road, Knoxville, TN 37909.)  on Saturday, January 18, 2025. The event is open to elementary school teams. Thank you to Bearden Middle for allowing us to use their facilities and their help!

Teams must be checked in one hour prior to the start of the qualification matches so that the match schedule may be printed. Teams must contact the event partner if they are running late or they will be removed from the team list for the event. 

Registered teams will receive an e-mail prior to the event with event details including parking and lunch information.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

7:30-8:30 Check-In and Inspections (Teams must be checked in and have their bots inspected during this time frame.)

 

8:30 Opening Ceremony/ Driver’s Meeting

9:30-12:00 Qualification  Matches (Teams must be queued up and ready to go. We will not wait for missing teams.)

 

12:00-1:00 Lunch (Pre-ordered pizza or kids may bring their own lunch.)

 

1:00-2:00 Qualification Matches Continue (Teams must be queued up and ready to go. We will not wait for missing teams.)

 

2:30 Finals (All teams should be in the gym and ready to go. We will not wait for missing teams.)

 

3:00 Awards 

 

*Times are subject to change based on unexpected circumstances.

 

**Team numbers will be announced twice in the gym and if a team is not at their assigned field, the match will proceed without them. The queue is a great opportunity for alliances to discuss strategies while they are waiting for their match.

Volunteer

We need lots of volunteers to make this all day event happen. Please consider volunteering. No prior experience is necessary. Email [email protected] to sign up. We will provide any training needed and we will also provide lunch to full day volunteers. We are happy to sign volunteer forms for high school or college students for their time spent volunteering.

Emergency/Bad Weather Policy

In the event of bad weather, updates will be made by email.

We cannot refund the REC Foundation fee associated with the event.

Refund and Payment Policies

If the Event Partner cancels the event: 

  • Emails will be sent out with reimbursement information. We cannot refund the REC Foundation fee. 

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

  • Teams that withdraw from registration more than 15 days from the event will be refunded minus the five-dollar REC registration fee.  Teams that withdraw less than 15 days prior to the event will not be given a refund.
  • Fees must be paid by December 16, 2024 prior to the event. If you are bringing a check day of please contact Heather Gray at [email protected].
  • Schools with outstanding invoices will be waitlisted for all events until payment is received.

Please enter the school from the Middlebrook Pike entrance. There will be a school electrical sign and a REC sign by the entrance.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in person on the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
