General Info

Awards:

This is an Official Indiana VEX IQ State Qualifying Event (assuming we have at least 24 teams registered) that will offer 2 State Spots for the winning alliance teams (Teamwork Champions) as well as 1 State Spot for the team that is presented with the Excellence Award. Other various judged awards and the Skills Champion award will also be given! For judging, all team interviews will be conducted in person at the event, while all engineering notebooks will need to be submitted digitally through RobotEvents.com at least one week prior to the event.

Event Registration/Fees:
Any team not paid by October 26th will be removed and that space will be offered to a team on the waitlist. All payments for entry fees MUST be made in advance. Payments will not be accepted at the door.


The deadline to check-in on the day of the event is 9:15am. Teams not checked in by that time will be removed from the event and will not be included in the match list. Call Eric at 765-329-1991 if you have some issue getting to the event on time the day of and we can work with you!
 

Concessions:
General concessions will be available (hot dogs, nachos, candy, drinks, etc.).

Participation and Consent:
A completed form for all participants must be turned in during check-in. Team leaders will need to collect the completed forms for all team members attending the event and turn them in to the registration desk when checking in. The consent form is located in the Documents tab of this event. Alternatively (preferably), forms may be submitted online through Robot Events prior to the competition.

Code of Conduct

Volunteer

We welcome volunteers for our event! Our high school robotics team (FRC 8742 Argyll Attack) and junior high robotics team (FTC 25638 Argyll Ambush) will be doing most of the "heavy lifting," but if anyone else would like to volunteer, please contact the Volunteer Coordinator Eric Cale at 765-536-0032 during the school day, or at 765-329-1991 after school hours. Thanks!

Emergency/Bad Weather Policy

In case of bad weather conditions or possible cancellations please visit the event on Robotevents.com, where I will post updates about the event status as needed. I will also attempt to send an email if a major schedule change occurs. Please feel free to contact me by phone (765-329-1991) if you are going to be late to the event. Match Lists will be generated at 9:30am and cannot be re-run.

Refund and Payment Policies

 

 

Event payments are expected when you register for the event and must be completed by October 26th. At that time, un-paid teams may be removed from the event to allow teams on the waitlist to register. Please contact Eric Cale (765-329-1991) if there are considerations to be made.

If the Event Partner cancels the event: 

If the event is canceled (due to weather or some unforeseen circumstance), registrations fees will either be refunded (less the $5 processing fee) or credited toward future event registrations, whichever each individual team would prefer.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

All requests for refunds must be made 2 weeks prior to the event. Refunds will not be given without this 2 weeks of notice. Refunds, if approved, will be processed ASAP following the event. Any refund will be less the $5-dollar processing fee.

Judging Format

Digital Engineering Notebook Submissions / In Person Team Interviews:

Team interviews will be conducted in-person at the event.
Engineering notebooks must be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents. Please submit your engineering notebooks digitally at least one week prior to the event.
