General Info

Mission Statement / Vision

The Big Island VEX IQ League's mission is to provide numerous opportunities for Hawaii Island elementary and middle school students in the Hawaii area to compete in local robotics tournaments. We aspire to provide a strong organizational structure that prepares students to succeed at state-level tournaments, resources and workshops that help students to better understand the engineering and design process, and opportunities to network and develop authentic relationships that transcend the walls of a student's participating school or club.

LATE Arrivals

Teams must be checked in 45 minutes prior to the start of the qualification matches so that the match schedule may be printed. Teams must contact the event partner if they are running late or they will be removed from the team list for the event. 

Team Payment

Teams must be paid in full before the first qualifying event. Teams not paid at this time may be dropped at the event partner's discretion to allow teams in from the wait list. If you are unable to meet this deadline we will work with your organization to arrange payment at a later date. Please email the tournament coordinator Jon Kitagawa.

League Overview

Event #1: Scrimmage - This event is not a scored event (September 21)

Teams are invited to bring their robot in whatever state it's in and participate in a “practice competition” format and get a feel for what it’s like to participate in the VEX Robotics Competition. We will also offer a workshop focused on the engineering design process and notebooking as well as introducing you to the resources the RECF and VEX Hawaii has created to support teams this season. The league will provide “demo bots” for teams who want to participate in the scrimmage and don’t have a working robot ready to go!

Event #2-3: Ranking Sessions (October 19, November 16, December 14)

These are ranking events in which teams will compete in the VEX IQ Teamwork Challenge for overall tournament ranking/placement in finals. Driver and Programming skills will not be offered at this event. Workshops targeted towards the needs of the league will be offered after each session and will be optional to attend; examples include programming help, notebooking, the interview process, etc. 

Event #4: Finals (December 14)

A ranking session will take place prior to the finals matches. This is the league finals where teams will be seeded and compete one last time to post their best scores with their alliance partners. Teams will also submit the engineering notebooks and complete team interviews conducted by industry professionals in STEM Fields. This event will also offer Driver and Programming Skills matches which will be submitted for overall state rankings. 

 

Team Expectations / Code of Conduct

We expect the following behavior and ethical standards at all REC Foundation-sanctioned events. 

  • Act with integrity, honesty, and reliability
  • Behave in a respectful and professional manner with event staff, volunteers, and fellow competitors
  • Exhibit maturity and class when dealing with difficult and stressful situations
  • Respect individual differences
  • Follow all rules as listed in the current game manual(s)
  • Student-centered teams with limited adult assistance
  • Safety as a top priority
  • Good sportsmanship, which includes supporting your alliance partners

These expectations apply to all team members and all adults associated with a team including, but not limited to, teachers, mentors and parents. Judges will consider team conduct and ethics when determining awards. 

With regards to adult interference -- If confirmed by judges / inspector / event partner, the team will be disqualified from all awards.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

Agenda

Event Type:


Scrimmage: An unscored event geared towards helping students to better understand how the current season game is played.
The scrimmage is not counted towards the team's required participation.
Teamwork Challenge Qualification: A scored event that counts towards the team's finals standings and required participation. This event will only offer teamwork skills matches only. 
Finals: A scored event that will include an additional set of teamwork matches that count towards the team's final's sedding and required participation. The event will offer autonmous and driver's skills matches. The event will inlcude the finals seeding and determine the overall league winners for teamwork and autonomous skills. 
Workshops: The league will offer targeted workshop sessions after most events. Attendance to these workshops are optional and will not count towards your team's rankings. These workshops will last approximately two hours depending on the focus.

Volunteer

Emcee

Description: Provide play-by-play during the tournament and informative program knowledge between matches. Add enthusiasm and energy, as well as a high level of engagement and understanding, for all event participants.

Activity Level: High (physical), constant standing or walking.

Experience Level: Advanced. Experience is preferred but not required.

Skills:

  • Outgoing and charismatic communication style to engage and energize the audience
  • Work as a team with other volunteers
  • Think quickly and improvise

Field Reset

Description: Accurately reset the competition field after each match and assist the Field Manager or Head Referee as needed. Note: students with high energy and younger children do well.

Activity Level: High (physical), constant standing or walking.

Experience Level: Beginner. No experience is needed.

Skills:

  • Ability to review field diagrams to place game objects in correct locations on the competition field
  • Move quickly around the field
  • Good listening skills

Head Referee

Description: Organize and oversee all Scorekeeper Referees. Interpret and consistently enforce the rules of the game to score each match upon completion. Act as the final authority for any disputes or rulings. Train Scorekeeper Referees as needed.

Activity Level: High (physical), constant standing or walking.

Experience Level: Advanced. Certification required. Must be at least 20 years old for V5RC events and at least 16 years old for VIQRC events.

Skills:

  • Apply knowledge of the game and rules
  • Lead a team effectively
  • Interact positively with students and coaches
  • Arbitrate disputes fairly and quickly deescalate arguments

Inspector

Description: Conduct inspections to verify that robots comply with the rules and specifications outlined in the game manuals.

Activity Level: Moderate (mix of sitting and walking).

Experience Level: Intermediate. Basic knowledge of robot construction and familiarity with V5RC & VIQRC parts is helpful, but not mandatory.

Judge

Description: Evaluate student teams through interviews, Engineering Notebooks, and on-field performance. Present awards as needed.

Activity Level: Moderate (mix of sitting and walking).

Experience Level: Intermediate. Some robotics judging experience is helpful but not necessary. Must be at least 18 years old and not part of a V5RC team for all V5RC events. Must be at least 21 for all VURC and VAIRC events. Must be at least 18 for VIQRC events. Younger volunteers ages 16-17 may be VIQRC Judges if paired with another Judge who is 18 or over.

Judge Advisor

Description: Train and assist volunteer Judges as they evaluate student teams through interviews, review Engineering Notebooks, observe on-the-field performance, and present awards as needed. Facilitate the Deliberation process for judged awards, and serve as a Judge as needed.

Activity Level: Moderate (mix of sitting and walking).

Experience Level: Advanced. Previous Judge experience is strongly recommended. Certification required. Must be at least 20 years old for V5RC and VIQRC events, and at least 21 years old for VURC and VAIRC events.

Pit Admin Assistant

Description: Serve in a customer service role by assisting teams and guests with competition- and venue-related questions.

Activity Level: Low (mostly sitting).

Experience Level: Beginner. No experience required.

  • Communicate effectively

Practice Field Official

Description: Oversee practice fields and ensure that all teams have access to practice time and proceed in an orderly fashion.

Activity Level: Moderate (mix of sitting and walking).

Experience Level: Beginner. No experience required.

Skills:

  • Monitor students and keep order
  • Communicate effectively

Queuing

Description: Assist with staging teams for upcoming matches.

Activity Level: High (physical), constant standing or walking.

Experience Level: Beginner. No experience required.

Skills:

  • Communicate effectively
  • Attention to detail
  • Stay organized in fast-paced environment
  • Follow instructions

Scorekeeper Referee

Description: Record scores using the TM Mobile app or paper score sheets. Verify recorded scores with other Scorekeeping Referees and/or the Head Referee as needed, and with the student drivers after each match. Discuss possible rule violations with the Head Referee after the match. Ensure the field is reset and robots are ready for the next match.

Activity Level: High (physical), constant standing or walking.

Experience Level: Intermediate. Experienced volunteers are preferred; however, Scorekeeper Referees can be new volunteers and can be trained quickly. Must be at least 15 years old for all events.

  • Interact positively with students

Team Check-in

Description: Welcome teams as they arrive. Verify teams, hand out materials, and collect Engineering Notebooks. Answer basic questions about the facility and event.

Activity Level: Moderate (mix of sitting and walking).

Experience Level: Beginner. No experience required.

Skills:

  • Attention to detail
  • Communicate effectively
  • Comfortable using a computer

VEX TM Operator

Description: Use the Tournament Manager software to initiate matches and record scores. Coordinate with the Emcee on displaying match results at appropriate times.

Activity Level: Low (mostly sitting).

Experience Level: Intermediate. Experienced volunteers are preferred, but new volunteers can be trained in advance.

Skills:

  • Comfortable using a computer
  • Attention to detail

Volunteer Check-in

Description: Welcome volunteers and guests. Verify schedule, hand out materials, direct volunteers to appropriate locations. Answer basic questions about the facility and event. Can be a fast-paced role.

Activity Level: Moderate (mix of sitting and walking).

Experience Level: Beginner. No experience required.

Skills:

  • Attention to detail

Emergency/Bad Weather Policy

Event dates will be postponed / rescheduled in the event of emergency weather conditions. Teams will be notified by the event partner the day prior to the event if there is a need to postpone. Please make sure your team contact info is up to date in your RobotEvents.com account, and includes both school and non-school phone numbers.

Refund and Payment Policies

If the event partner cancels the event a full refund will be given (minus any incurred processing fees).

Once payment is received, no refunds will be given for teams that withdraw or do not attend. Please be sure that your team is committed to participating in the 2024-25 Big Island VIQRC League before registering. 

Full payment is due by the first ranking session or the team may be dropped from the event.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges at the time of check-in. If a team has created a digital engineering notebook throughout the season, a physical, printed, copy of the team's notebook is still required.
