General Info
1. Robot Inspection (Pre-event)
Robot inspections will begin on Wednesday, March 19th. Since March 19th is a setup day, inspections are scheduled to take place in the afternoon (15:00–18:00) after the setup is complete. Further details will be updated as they are finalized. If attending on March 19th is difficult, you may complete the inspection on the event day, but we strongly encourage teams to undergo the robot inspection the day before whenever possible.
2. Taiko Drumming Experience (Pre-event)
As part of an international exchange program, we will be hosting a Taiko drumming experience. This event requires a reservation, and we are planning to accommodate as many participating teams as possible. However, spots are limited, so we recommend registering early once the details are released. Participation is free. Further updates will be provided as details are confirmed.
3. Engineering Notebooks
Judging of the Engineering Notebooks will be conducted remotely. Teams are required to submit their Engineering Notebooks in advance for evaluation. Notebooks brought on the day of the event will be considered for team appeal but will not be subject to judging. Please ensure you submit your Engineering Notebook in PDF format by March 9th at 20:00 JST. To allow teams to focus on the competition on the event day and to ensure fair judging, the notebooks will be reviewed prior to the event. Teams using a web-based Engineering Notebook can submit directly from their account on RobotEvents.
4. Volunteers
This competition requires many volunteers. Each team must provide at least one volunteer. For volunteer roles, please check on Discord or apply directly here. If anyone from your team is unable to provide a volunteer, please contact Shige, the volunteer coordinator.
5. Entry Fees
Some teams have not yet completed their payment. Please process your payment immediately using the link. On the day of the event, payments at the venue cannot be accepted due to security reasons.
6. Lunch
The pre-order for lunch will start on March 1st at 8:00 AM JST and close on March 14th at 3:00 PM JST. Please wait until the order page is ready. Once the page is available, we will update the event page and send a notification to the registered email addresses.
7. Consent Forms
Some teams have not yet submitted their consent forms. These forms include important information regarding safety, liability, image rights, and participation eligibility. All team members, including instructors, must submit the form. As parental consent is required, please ensure the forms are submitted in advance. Teams that do not submit the required forms will not be allowed to participate.
If you have any questions or requests, feel free to reach out. We look forward to your participation!
Thank you,
YSE

For security reasons, cash payments at the venue will not be accepted. Please make your payment via the above link by the due date.
