General Info

Maximum Team Registrations

The maximum team registrations per organization is set at four per organization so that we can allow all organizations within our intended service area to register at least one team. We understand that there are many organizations with team counts that exceed this limitation. Please add all teams beyond the maximum team registration limit to the waitlist. Notify the event partner of your request for additional teams so that we can work with your organization to ensure everyone can register and participate. 

Waitlisted team priority:

  1. Teams that have not participated in any VEX IQ Events This season
  2. Hawaii Island Teams
  3. Outer Island Teams  (Maui, Molokai, Oahu). 

We will begin notifying waitlisted teams on December 7th, 2023.

LATE Arrivals

Teams must be checked in 45 minutes prior to the start of the qualification matches so that the match schedule may be printed. Teams not checked in by this time may be removed so that the match schedule can be generated on time. 

Team Payment

Teams must be paid in full by the payment deadline (December 15th, 2023).  Teams that are marked as "unpaid" will be removed from the team event list if there are waitlisted teams. Teams that are marked as "P.O. Processing" will be asked to submit documentation that a Purchase Order has been submitted by your school/organization; without documentation payment will be treated as "unpaid" and will be removed from the team event list if there are waitlisted teams. Teams not paid in full by the event date will not be permitted to participate.

 

Team Expectations / Code of Conduct

We expect the following behavior and ethical standards at all REC Foundation-sanctioned events. 

  • Act with integrity, honesty, and reliability
  • Behave in a respectful and professional manner with event staff, volunteers, and fellow competitors
  • Exhibit maturity and class when dealing with difficult and stressful situations
  • Respect individual differences
  • Follow all rules as listed in the current game manual(s)
  • Student-centered teams with limited adult assistance
  • Safety as a top priority
  • Good sportsmanship, which includes supporting your alliance partners

These expectations apply to all team members and all adults associated with a team including, but not limited to, teachers, mentors and parents. Judges will consider team conduct and ethics when determining awards. 

With regards to adult interference -- If confirmed by judges / inspector / event partner, the team will be disqualified from all awards.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Our goal is to conclude the event by 4:15 PM. Please be aware that there may be extenuating circiumstances or unexpected delays during the event which may push the conclusion time back. If you are traveling from a different island to participate in this event, please keep this in mind when booking your travel.

If we are able to secure additional fields and volunteers, we will run skills matches concurrently instead of during a dedicated timeblock. 

Volunteer

We are seeking volunteers for the following roles:

  • Field Reset (No age minimum)
  • Scoring Referee (15 Years or Older)
  • Head Referee (16 Years or Older)
  • Judges (Educators or Industry Professionals)
  • General event assistance

Emergency/Bad Weather Policy

In the event that we are unable to convene due to inclement/bad weather or an emergency, the event will be cancelled. A full refund less the event processing fees assessed by the RECF ($5) will be provided to all affected teams. 

The event partner will contact teams if the event must be cancelled due to unexpected circumstances.

Teams should make sure their contact information is up to date in RobotEvents.com, and includes both school and non-school phone numbers.

Refund and Payment Policies

If the Event Partner cancels the event: 

A full refund less the processing fees assessed by the RECF will be given to all affected teams.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

The Big Island VEX IQ Tournament is not able to offer refunds due to incurred costs to organize and run the event.
Once payment is recieved, we are unable to offer refunds for cancellations or no-shows at the tournament. 
Please be certain that you are committed to participating before registering for the event. 

Judging Format

To be consistent with the titling for this event, we have modified the notebook submission format as follows. Thank you for bringing this to our attention.

Physical Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted physically for evaluation a at the time of Robot Inspection. 

Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation  via a link found within the "My Account" panel of the team contact on RobotEvents. A submission deadline that may be scheduled ahead of the event date.
