General Info

We are excited to welcome you to our Tri West Middle School Tournament at Pittsboro Elementary. We hope your teams will enjoy competing and learning from other teams.  There will be an Elementary only competition in the morning from about 8am to about 12:30pm, with our event to follow right after. 

This is an Official Indiana VEX IQ State Qualifying Event in Alliance and with enough team Excellance award as well.  

Any team not paid by January 22nd will be removed and that space will be offered to a team on the wait list. 

Participation and Consent Form A must be completed for all participants and turned in during check-in, or uploaded online. Team leaders will need to collect the completed forms for all team members attending the event and turn them in to the registration desk when checking in if forms were not completed online. The day of registration deadline is 12:30PM.  Teams not registered by that time will be removed from the event and not be included in the match list.

All payments for entry fees MUST be in advance. Payments not accepted at the door.

Judging Format: In-Person interviews/Engineering Notebooks will be submitted the day of the event as a hard copy.

We will have a basic concession stand the day of the event with drinks and snacks. An email with this information will be sent January 22nd. If you have questions or concerns please do not hesitate to reach out.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Agenda

12:30 pm           Doors open.

12:45pm  – 1:30pm      Inspection and Check In: Teams MUST have robot inspected prior to competition 1:30pm. Teams not checked in and inspection passed by 1:30pm will forfeit matches for this session.  Once inspected you will be able to start skills.  At check in teams will submit their printed Engineering notebooks if they want to be judged.  

12:45pm – 5:15pm      Skills open to teams that have passed inspection.

12:45pm - 5:15pm      Judging will be open to interviews on a first come first served basis.  Teams will need to come to the judges for interview before thier matches (after inspection) or in between their matches.  Teams that do not get their interviews completed by 5:15pm will not be given any judges awards.  

1:30pm – 1:45pm      Drivers Meeting.

1:45pm                 Matches generated and dispersed.

2:00pm – 5:15pm     Qualification Matches.

5:45pm - 6:00m    Final Matches/Awards Presented.

6:00pm                 Clean Up, help from other teams appreciated.

Emergency/Bad Weather Policy

In the event of an Emergency/Bad Weather teams will be notified as soon as possible by the phone number listed for each team's coach.

Refund and Payment Policies

If the Event Partner cancels the event:  refunds minus $5.00 will be issued

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:  no refund will be given.

 

Judging Format

 Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted the day of the event as a hard copy.
