General Info

Updates on Battle at the Bear’s Den

We are excited that you are signed up for our competition, Battle at the Bear’s Den on Saturday, January 13, 2024 at Bearden Middle School (1000 Francis Road Knoxville, TN 37909. We will open the doors at 7:15 am. Please enter the school from Middlebrook Pike and park in the lot there. Those are the only doors that will be unlocked. The pits will be in the cafeteria. We will have a concession stand running by 8 am until 2pm. It will have chips, drinks, etc… For breakfast, we will have Krispy Kreme doughnuts for sale. They are $1 a doughnut. We will sell them until we run out. We are offering a pre-ordered Chick-fil-a box lunch for $10. The box will include a sandwich, chips, a cookie and a bottle of water. You are welcome to add parents to your team’s order. Teams are responsible for paying for any pre-ordered lunches they request. Please pay for all the lunches you ordered at check-in. Checks can be made out to West Hills Elementary, attention “robotics” and can be brought to the competition. We will also accept cash, but it must be exact change. All boxed lunches must be pre-ordered by Thursday, January 4, 2023 at noon. No late orders will be accepted because we need to give the numbers to Chick-fil-a. Teams will receive an envelope when they pay at check-in. The envelope will contain tickets for their pre-ordered meals. People will hand in a ticket at lunch and receive a boxed lunch and a bottle of water. Teams may bring their lunch if they do not want a box lunch.

3:00 Awards

*Times are subject to change based on unexpected circumstances. **Team numbers will be announced twice in the gym and if a team is not at their assigned field, the match will proceed without them. The queue is a great opportunity for alliances to discuss strategies while they are waiting for their match. Thank you for your cooperation and understanding!

Volunteers:

Volunteers are essential to a successful tournament. Please consider volunteering. No prior experience is necessary. Please email [email protected] to sign up. Volunteers will receive any training necessary and a full day of inspiration working with incredibly talented youth.

 

Emergency/Bad Weather Policy

 

Emergency/Bad weather policy:

In the event of bad weather, updates will be made by email.

We cannot refund the REC Foundation fee associated with the event.

Refund and Payment Policies

 

Refund and Payment Policies:

If the Event Partner cancels/postpones the event: 

  • Emails will be sent out with reimbursement information. We cannot refund the REC Foundation fee. 

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend: 

  • Teams that withdraw from registration more than 15 days from the event will be given a refund minus the five-dollar REC registration fee.  Teams that withdraw less than 15 days prior to the event will not be given a refund.

  • Fees must be paid by December 15, 2023. If you are bringing a check day of the event, please contact Heather Gray at [email protected]

  • Schools with outstanding invoices will be waitlisted for all events until payment is received.

 

Judging Format

 

Judging Format:

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in person on the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
