General Info

Thank you for registering for the SOAR Robotics Trunk or Treat Tournament!

Coaches, parents, and older siblings/students who can volunteer in any capacity are welcome...we depend on volunteers to help the tournament run smoothly!  We especially would appreciate anyone trained as a judge for design and engineering notebooks.  If you can volunteer to help, please complete this form: https://forms.gle/ab6qJ6VZHe1sV1GQ8  We especially need Judges.  

Doors will open at 7:45 AM. While we will do as much preparation for the event the day before, there are always last minute items to attend to, so please plan to enter the venue no earlier than 7:45 am.

Prior to the day of the tournament, email is the best method of contact as we are educators who work with students all day. On tournament day, please contact Shari Hiltbrand via the provided cell number. 

Tournament INFO:

Two game fields; Two Skills fields (depends on help from the community-please email Dr. Shari Hiltbrand [email protected] if you have a table to offer for skills); space for four practice fields will be available as teams are able to provide them. 

Concessions for snacks only will be available, 9:00am-3:00pm. Please no bills larger than $20. Water bottle filler is available for filling water bottles. No drinks will be sold.

LUNCH: Each team or group is responsible for their lunch. A general map of local restaurants can be found here

Volunteer

Volunteers are what make VEX events happen.  We need Field Referees for Qualification Matches and Skills Challenges, as well as Judges. Volunteers receive breakfast, lunch, and snacks throughout the day.  Contact Shari Hiltbrand at [email protected] if you would like to volunteer. 

If you can volunteer to help, please complete this form: https://forms.gle/beLpUFmcCJiWmbFA9  We especially need a Judge Advisor and In-person Judges.  We also need Engineering Notebook Judges to judge the notebooks online as they are being submitted digitally the week before the event.

Emergency/Bad Weather Policy

The tournament will be cancelled due to Emergency/Bad Weather and refunds given.

Refund and Payment Policies

If the Event Partner cancels the event, refunds will be given.

If a Coach/Mentor completes registration for the event and then chooses to withdraw or not attend, refunds will not be given. 

After registration closes, no refunds will be given except in the case of bad weather.

Travel Info

We are located in the Energy Corridor in west Houston.  There are plenty of places to eat and stay nearby.

Directions from central Houston: Take I10 westbound towards San Antonio.  Exit at Eldridge Parkway and turn left (south) under the freeway.  Continue for approximately 1.5 miles to Parkway Plaza Drive.  Turn right (west) onto Parkway Plaza Drive for about 0.5 miles. The street curves along the way and you will see StJII on your right after the curve.  Parking is available in the lot as well as along Parkway Plaza Dr. Do not park in the Kinder Care parking lot...they will tow.  

Please enter through the Cafeteria (GSC) as pits and practice fields will be located there.  Game matches and Skills Challenges will be in the adjoining Bramanti Athletic Center with bleachers available for viewing the game matches. A map of the facility and area restaurants will be emailed to coaches/primary contacts the week before the tournament.

No webcast will be available. 

Judging Format

Digital Engineering Notebook Submissions / In-Person Team Interviews: Team interviews will be conducted in person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents. Notebooks must be uploaded by 4:00 p.m. Friday, October 20, 2023.

Judges will be provided notebook access on the 21st of October. Links to Notebooks may not be added after this day.
