General Info

We are excited to see you all at the state competition.
EMAILS
All information about this event will be emailed and can also be found on this website. It is important that you begin looking for emails from me after February 28. You should get at least two. Please check your junk, clutter or spam files for these.
This information will not be finalized until 10 days before the event. Get an idea here of how the event will go. Changes are inevitable, but this information will be final February 28.
Make sure your team information is accurate in your robot events account, particularly the "number of team members" as this will help us with planning.
Some of the event will take place on March 8 such as skills and inspection, however this night is optional. The bulk of the event will be March 9, with doors opening at 7AM. We would like to have all teams checked in and inspected by 9:30AM, and we hope to be done by 6PM.
There are twelve spots (six middle and six elementary) at this event that will send teams to the world competition in Dallas, TX. It's going to be an exciting day.
Both middle and elementary divisions will go through 8 rounds. (VERIFY.)
The middle school and elementary school competitions will be running at the same time. We will have four middle school fields and two elementary. There will be three certified head refs plus six scorekeepers on the main tournament floor.
We will have six dedicated skills fields with three certified refs plus scorekeepers in the upper gym area. However, from 8AM until 9:30AM, skills will be done on the main gym floor. We strongly encourage teams to do as many of their skills runs as possible during this time.
FIELDS
We will have an area set aside for practice fields if you'd like to bring one. If you bring one, you are required to share. We will have a practice field coordinator who will allow teams to cycle through ten-minute intervals to practice. This is how things are done at worlds and will give everyone equal access to the practice fields. If your team asks another team to move from the field before the ten minute session is over, this will result in a G1 violation.
On Friday night the lower tournament fields and the upper skills fields will be open for skills runs. We recommend doing autonomous on the upper skills fields as a crowd of people watching your autonomous run can be a bit unnerving. Additionally, the field levels on the main floor can vary enough that it could affect robots during autonomous. See rule T10.

Fill out the form linked below if you'd like to pre-order lunches from Zaxby's for your team(s) and/or any of your spectators. Please review the details in the form below and make sure to submit no later than Monday, March 4 at noon. We ask that coaches or a designated adult complete this form on behalf of their team(s) and/or spectators and bring payment in the form of a check or cash. No multiple checks, please. Make sure checks are made to Hendersonville High School. Put "robotics lunch" in the memo.

Concessions will be available for purchase. CASH only.
The judging schedule will be emailed the week of the event if not sooner so remember to bring your notebooks and turn them in at the check-in table. No digital notebooks, please. They must be printed.
The pits will be in our gym. Please bring power strips for the community charging stations and make sure everything is labeled.
As stated earlier, our skills fields will be in the upper portion of our gym. If you or any member of your group has mobility issues, you will be allowed access to an elevator.
Fine Designs will be on site selling the state competition shirts. These shirts are fully customizable. You can add team names, numbers, etc.
We will have badges for coaches, participants and volunteers. "No parent" and "No coach" zones will be strictly enforced.
The Code of Conduct and Student-Centered Policies will be a major focus of our volunteers and should be a high priority for all participating teams. Please help us maintain the integrity of this upstanding program.

Judges schedule

Teams can check in when they arrive but only the coaches will receive the team packet. So, when you check in, tell the volunteers that you are the coach. You may check in all of your teams or wait until they arrive.
You will receive one coach badge for every team you have. If you don't need all of the coach badges, please don't give them to your adults as this can cause excess crowding on the gym floor.
Look in the image gallery for a map of the area to aid in parking and unloading. GPS will bring you in on either Cherokee or Indian Lake Rd.
Teams must unload at the red X and then park in any of the green sections.

Late last month Vex sent out an email regarding their code of conduct and student-centered policies. Please help us enforce good behavior from adults and students. Also, let's make this the student-centered event it is intended to be. Please keep adults in their proper roles as encouragers and teachers rather than as participants.

Refund and Payment Policies
If the Event Partner cancels the event:
- Refunds will be given, minus the $5 processing fee from the REC Foundation.
If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:
- No refund will be given.

Judging Format
- All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
