General Info

The Galactic Girls+1 are hosting a VEX IQ Full Volume Tournament. This event will be held at Monteverde Academy in Montverde, Florida.

All Payments must be sent to robotevents.com, we cannot accept cash or checks for registration at the door.  Payment must be made in advance of the event in order to participate.

This will be an elementary school tournament. Specific award winners will qualify for the North/Central Florida Regional Championship.

We will have in-person judging, a Teamwork Tournament, as well as Programming & Skills Challenges. 

Notebooks will be submitted digitally and must be uploaded by the end of the day, Wednesday, January 3, 2024. All notebooks will be evaluated under the same circumstances and will be evaluated by a judging committee before the opening of the event. 

 

 

We have teamed up with Cal’s Kitchen for a wonderful catered lunch. We are provided two choices:

  1. Spaghetti, salad, garlic knots, chocolate chip cookie, and bottled water for $15.00
  2. Turkey sandwich, chips, chocolate chip cookie, and bottled water for $12.00

All orders are due by the end of the day on Wednesday, January 3. We will not be ordering extra meals.  Lunches for key volunteers will be provided and catered from the same restaurant.  Lunches for non-key and student volunteers will also be provided, including pizza from Papa John's.

Volunteer

Every successful event relies heavily on its volunteers. This is true for our Galactic Gala. If you are interested in volunteering for this event, please contact  Kellyann Goring at [email protected] or text at 352-408-2811.

We have a need for volunteers in the following areas, many of which do not require prior experience, all of which require positive, supportive interactions with the teams.

Judges (all day): evaluate student notebooks, interview teams, and deliberate awards, you will be working under the supervision of the Judge Advisor for training and assistance (no experience needed)

Team Check-in (8:00-8:45): check-in each team, answer any questions they may have or direct them to someone who can help them further, you will be working under the supervision of the Judge Advisor for training and assistance (no experience needed) This could be the same person as a referee or a queuer

Robot Inspections (8:15-9:00): inspect robots to ensure they meet the correct dimensions and specifications, you will be working under the supervision of the Judge Advisor for training and assistance (no experience needed) This could be the same person as a referee or a queuer

Referees (all day or partial day): keep time for each skill match, score the field, and understand the rules of the game, you will be working under the supervision of the Head Referee for training and assistance (some experience needed)

Queuers (only during alliance matches and finals): ensure each team is at the queueing tables in time for their match, you will be working under the supervision of the Head Referee for training and assistance (no experience needed)

Practice Field Supervision (throughout the day): help ensure the safety of the teams and the practice fields throughout the event (no experience needed)

 Concessions (all day): maintain a neat, clean food environment, handle cash and return change (no experience needed)

Emergency/Bad Weather Policy

In case of severe weather (a hurricane, for instance) this event will initially try to be rescheduled.

If it has to be CANCELLED, your registrations will be refunded (less a $5 processing fee).

Refund and Payment Policies

If the Event Partner cancels the event: Refunds will be issued.

 

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

It is expected that teams utilize the RobotEvents system to handle event payments prior to attending the event.

Teams who sign up to compete at this event are making a commitment to being there and commit to the organizer to offset costs. Therefore, refunds will not be issued.

However, if you need to cancel, and your spot is filled by another team, we will be happy to issue a refund.

Due to the limited space for events, we will not issue a refund for a 'no show'.

In all cases, each registration contains a $5 RobotEvents processing fee that is not refundable.

Judging Format

Digital Engineering Notebook Submissions / In Person Team Interviews:

Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents.

Notebook submission deadline is 11:59 PM, Wednesday, January 3, 2024.
