General Info

We are excited to see you all on November 4th for our fifth annual Battle of the Bots Event.

 

EMAILS

All information about this event will be emailed and can also be found on this website. It is important that you begin looking for emails from me after October 25. You should get at least two emails. Please check your junk, clutter or spam files for these. 

This information will not be finalized until 10 days before the event. Get an idea here of how the event will go, but keep in mind that it will not be final until October 25.

 

FIELDS

We will have four tournament fields and three skills fields. If you can supply a field to go in either spot, let me know asap. You will receive 3 skills fast passes for each field you bring. These are for one time uses only. If you want to bring a practice field, they will go in the auditorium lobby. Practice fields cannot be in the gym and cannot block doors as this is a safety hazard. 

 

VOLUNTEERS

If you have any adults that would like to help keep score or work the queue tables, send their names my way. If you have teams that do not plan on showing up, please let me know ASAP. 

 

LUNCH / CONCESSIONS

Our STEM Ambassadors will be providing pre-order lunches as a fundraiser for their program and would be grateful for your support. If you would like to pre-order lunches for your team(s) and/or any of your spectators, please review the details in the form below and make sure to submit no later than Thursday, November 2 at noon. We ask that ONLY COACHES complete this form on behalf of their team(s) and/or spectators and bring the payment. You can collect money from your team (no need for one check) but make sure checks are made to Portland East Middle. Put "STEM lunch" in the memo. https://forms.gle/1rv3jRBFKN6YQVGw5

JUDGING

PITS

The pits will be in our gym. Please bring power strips for the community charging stations and make sure everything is labeled. 

Only coaches, students and event staff are allowed in the pit area. Badges will be available to designate who can be where. We will have monitors ensuring that G1 and G2 rules are being followed. (LIST PROCESS HERE).

If the event is full, please add your team to the wait list.

Payments are due by 11/3/23. If your team does not pay by that deadline, you will lose your spot and teams will be added from the wait list. 

Additional information regarding directions, campus maps, times, and food information will be added closer to the tournament date.  In the meantime, if you have any questions, please email [email protected]. Participants will be required to submit the VEX liability release form through robotevents.com.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Volunteer

Volunteers are essential to a successful tournament. Please consider volunteering. No prior experience is necessary. Please email [email protected] to sign up. Volunteers will receive any training necessary and a full day of inspiration working with incredibly talented youth.

Emergency/Bad Weather Policy

In the event of bad weather, updates will be made by email.

Refund and Payment Policies

If the Event Partner cancels the event: 

  • Refunds will be given, minus the $5 processing fee from the REC Foundation.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend: 

  • No refund will be given.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.

 

The judging schedule will be emailed the week of the event if not sooner so remember to bring your notebooks and turn them in at the check-in table. No digital notebooks, please. These must be printed.
