General Info

Mandatory Release Form
All participants including coaches/mentors/teachers must have a Participant Release Form uploaded in RobotEvents.com. 

Team Payment
Teams must be paid one week prior to the event. Teams not paid at this time may be dropped at the event partner's discretion to allow teams in from the wait list.

Skills Only Guidelines 

  • Please refer to the Robot Skills Challenges section of the Game Manual 
  • UPDATE: 3 skills fields will be running simultaneously 

Limit of 5 student participants and 1 adult coach/mentor

Proper documentation must be submitted on the day of the event. Each participating team will consist of 5 student members and one adult coach. Each teamʻs coach will be responsible for collecting and maintaining all documentation, including (but not limited to) field trip permission forms, emergency contact information, vaccination status. 

  • Adult coach/mentor must have proof of full vaccination or an approved exemption with a negative result of a COVID-19 test administered within 48 hours of the event
  • Students will be the only ones allowed in the Skills area 
  • Adult coach/mentor must wait outside until the team is completed with their skills runs 
  • Audience members are not allowed 

Teams must bring their own power strip and battery chargers/batteries. 

Only up to 4 students are allowed into the cafeteria during their skills runs. Adult Coach and other students must remain outside at their pit table until their skills runs are complete. 

HEALTH AND SAFETY PROTOCOL

Please be aware that this in-person event will require:

  1. All persons must wear a face-covering while on the event site premises that covers both the mouth and nose.

  2. All participants will be regularly asked to use hand sanitizer when interacting with high-touch surfaces.

  3. All persons will submit to a temperature check prior to entrance.

  4. Exceptions for masking may be granted for eating or drinking when outdoors. If masks are removed participants should maintain at least 6 feet distancing.

Persons that are exhibiting covid-19 like symptoms will not be allowed to enter the facility:

  • Fever (higher than 100°F or hot to the touch) 
  • Chills
  • Cough
  • Shortness of breath or difficulty breathing
  • Fatigue (tiredness, weakness) 
  • Muscle and/or body aches
  • Headahce
  • New loss of taste or smell
  • Sore throat
  • Congestion or runny nose 
  • Nausea or vommitting 
  • Diarrhea 

The event partner reserves the right to refuse entry to any person(s) that do not comply with the health and safety protocol outlined above. No refunds will be provided to teams or individuals that are refused entry.

Code of Conduct​
We expect the following behavior and ethical standards at all REC Foundation-sanctioned events:
       • Act with integrity, honesty, and reliability
       • Behave in a respectful and professional manner with event staff, volunteers, and fellow competitors
       • Exhibit maturity and class when dealing with difficult and stressful situations
       • Respect individual differences
       • Follow all rules as listed in the current game manual(s)
       • Student-centered teams with limited adult assistance
       • Safety as a top priority
       • Good sportsmanship, which includes supporting your alliance partners

These expectations apply to all team members and all adults associated with a team including, but not limited to, teachers, mentors and parents. This Code may also apply to behavior outside of REC Foundation-sanctioned events where inappropriate actions are related to an event or participating individuals.

Repeated or egregious violations of the expectations in this Code may result in consequences up to the disqualification of the team or organization from the current event and/or future events, and potentially removal from the program after review by the REC Foundation.

Teams will be assigned a time slot by December 6. Multiple teams from the same school/organization will be put in the same time slot. Team participants and adult coach must arrive 15 min prior to their time slot for team check-in.

The event partner will contact teams if the event must be postponed. Teams should make sure their contact information is up to date and includes both school and non-school phone numbers.

Due to fixed costs refunds will not be provided and are made at the discretion of the event partner.

Judging Format

Practice Interview Judging for Teams 

As this event won't be awarding judged awards, we're allowing team members the opportunity after their skills runs to conduct a practice interview with volunteers and receive feedback on their engineering notebook and robot design. We want to highlight the students' learning from the design process and recognize the students' roles on the team. The practice interview is optional for teams, but we highly encourage team members to participate to practice for their real interviews at future tournaments. 

Electronic Notebook Submission 

Teams who wish to receive feedback on their notebooks must upload it before December 4, 11:59pm HST. We will accept only a digital notebook or scanned copy of their physical notebook. We will not be accepting physical notebooks at the event. Teams will be emailed a Google Drive link and instructions on where to submit their notebook should they wish to receive feedback.
