Participation and Consent Forms
Completed/signed consent FORMS for all participants (students, volunteers, mentors and participating adults) must be turned in online using this link (http://www.robotevents.com/consent)
Each participating team must provide at least one volunteer for all or a portion of the day.
We expect that masks will need to be worn when inside BHS and not eating. Please bring masks with you.
Volunteers should sign up by sending email to president@BerthoudRobotics.org with your preferred event volunteer position(s) with your team number if you are volunteering for a particular team. If you will need an official letter indicating your volunteer hours, please email that request to president@BerthoudRobotics.org. If using the sign-up-genius please put the team # and note if you need an official letter in the "comment" text-box on the page where you type in your email address. NOTE that we are holding a VRC tournament on the same day so be sure to indicate which event you would like to attend as a volunteer.

Volunteers should plan to wear a RED shirt so that you can be easily identified.

Lunch Plans
A pre-order form will be sent to each registered team as of 1/10/22.
- Pizza [large cheese or sausage or pepperoni] (expected price $14, final price TBD)
- Drinks will also be available with the lunch pre-order at a reduced cost
In addition, Berthoud Robotics will have various drinks and snacks available for preorder and purchase including water, diet and non-diet soft drinks (Pepsi/Coke products) and various sport drinks. Snacks will generally be pre-packaged chips and candy bars. By-the-slice pizza will also be available.
Preparation for the Tournament
This event is sure to be a fast paced and exciting event. All teams should come prepared for competition.
Here are a few steps that every team should take to ensure they are ready.

Review rules and run through the inspection checklist (see Documents tab). Review closely the rules for using VexV5 equipment or Vex Cortex equipment. Note also the rules on robot sizing. The sizing rules can cause your team a lot of work early in the day if not closely followed. Review the rules for notebooks and notebook submission.

Review the descriptions and criteria for the awards being given during this tournament

Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby as the venue is a very tight fit. Also, remember no grinding or other actions that create sparks inside the high school building.

Understand how the game will be played. VEX participants are more than welcome to watch the referee training videos before they attend a tournament.

Ensure that you have the latest version of VIQC firmware.

Read through the robot troubleshooting guide and follow the directions about setting up your robot during the competition. Following the directions will avoid issues with the robots and the controllers.

Cell phones must have WIFI disabled during the event to avoid interference with the competing teams.

If you have issues with your computer or software, BRC will likely only be able to help you if your are using the Vex VRC integrated development environment. We have limited setups to help with PROS, JAVA or Python.

Volunteer
Participating teams are required to have 1 volunteer sign up per team who is not a coach for half of the day (this can be organized as two volunteers each taking a 2-hour slot). Please have the volunteer send email with their preferred volunteer position to president@berthoudrobotics.org OR use our VIQC_Tournament_SignupGenius
We are in need of both full and partial day volunteers. Volunteer slots for most positions are 2-hours in length. A half-day slot would be two 2-hour slots. A full day position would be either a full day position (e.g., Referee) or two half-day or three 2-hour slots.

Teams who have a volunteer registered by 1/6/22 and who signs in and participates as a volunteer will receive $10 of their registration fee returned or that $10 applied to any lunch pre-order.
Emergency/Bad Weather Policy
The event will be cancelled if news stations advise staying home. We will post on both http://BerthoudRobotics.org/tournament and on the tournament page on RobotEvents.com.
Refund and Payment Policies
Full refund if cancelled by 1/6/22, minus the $5.00 RobotEvents fee which is non-refundable.
On or after 1/6/22, we will refund only if there is a replacement team on the wait list who actually participates in the event. If you do find a team to take your spot please send mail to president@BerthoudRobotics.org with the team number as soon as you know.
If your team ends up being quarantined the weekend of the event we will refund your tournament entry fee (minus the $5 RobotEvents fee) regardless of when you find out about the quarantine. It's better that you not show up for the tournament.
If you end up losing your tournament registration fee due to cancellation but your volunteer shows up even if your team didn't, we will refund $10 of your fee.
Health and Safety Policies
This information is subject to change as the conditions change.
As of 10/15/21, all student participants, coaches, volunteers and visitors would be required to wear masks while at the event. This is currently Larimer County and a requirement at BHS.
Maintain common sense covid protocols including distancing as best as you can during the event, doing a good job hand-washing at the event.
Teams that are in covid quarantine should skip the event. If you are not feeling well, sneezing up a storm, please skip the event.
Berthoud Robotics will provide bleach cleaning wipes so that if the teams want to clean the field objects (e.g., pre-loads) prior to handling they can do that.
Berthoud Robotics will do our best to clean the queueing tables between matches but this is best effort only. Anyone attending the BHS event should take responsibility for themselves and do what is required to keep yourself safe.

Judging Format
Judging will be In-Person (though your team can bring a remote member into the interview with your own tablet/phone at your discretion).
Notebooks should be brought to the event or submitted electronically online with detailed information on how the judges can gain access to the version history.
Some of our judges may be remote and the judging team will bring them to the meeting with our own equipment.
