General Info

Welcome to the 2024 Northeast Aerial Drone Competition Championship!

This event will recognize teams from Connecticut, Delaware, District of Columbia, Maryland, Massachusetts, Maine, New Hampshire, New Jersey, New York, Pennsylvania, Rhode Island, Vermont, Virginia and West Virginia.

Payment Deadlines

  • Teams that register for an Aerial Drone Championship on or before February 29, 2024, will have four weeks to pay by credit card, check or PO for the Championship event. 

  • Teams that register on or after March 1, 2024, will have two weeks to pay by credit card, check or PO for the Championship event.

  • Teams that do not pay by the above deadlines may be moved to the waiting list of the event at the event partner’s discretion.

Release Forms

All participants must have a Participant Release Form on file. It is the responsibility of the Team’s Primary Contact to make sure this occurs. A link to the instructions on how to submit a Participant Release Form is found here.

Judging Info

Digital Logbook Submissions

Competition logbooks will be submitted and reviewed digitally. Digital logbooks must be submitted via the “Registered Teams” section of your RobotEvents account. The deadline to submit logbooks for review is Friday, May 3, by 5:00 PM Eastern. Physical logbooks, or digital logbooks submitted by other means (e.g. email), will not be accepted.

If your team has a physical logbook, you’ll need to scan the logbook to a PDF and upload to a site such as Google Drive or Dropbox, with sharing permissions set to “anyone with the link”. You will then submit a link to the PDF through RobotEvents. If your team has a digital logbook, you can choose to share a direct link to the logbook (e.g. as a Google Slides presentation, or anything else viewable in a web browser), or you could export a PDF and submit that.

The RobotEvents submission system will verify that the link you submit does not require a login or any other authentication. Submitted logbooks will only be shared with event staff and volunteer judges.

In-Person Team Interviews

Team interviews will be conducted in-person during the event.

Inspection

All teams must pass inspection before they can compete. Please be prepared and ensure that your drone will pass inspection BEFORE the competition by reviewing the Inspection Checklist.

Venue

The event will be held in the Fairmont State University Falcon Center. Please see the "Travel Info" tab for directions to the venue and parking information.

Pit Area Info

Each team will be provided with a 10’x10’ pit area, consisting of a table and 3 chairs under a folding canopy. Canopies are 10’x10’ at the floor and 8’x8’ at the top. Each pit area will also be provided with power. Please feel free to bring flags, banners, decorations, etc. for your pit area!

Each team’s pit area will also include a sign with their team number, name, and location, which you are welcome to take home with you at the end of the event. Information for these signs will be pulled from your team’s profile in RobotEvents and will be produced weeks in advance – be advised that if you change your team name right before the event, that change may not be reflected in your team's pit sign.

Team pits will be split across two different gymnasiums. Teams from the same organization (same team number) will receive pit areas near or directly adjacent to each other in the same gym. Each gym will have pit displays to keep up with the tournament.

If weather, a local emergency, or enhanced coronavirus restrictions cause us to cancel or modify the scheule for this event, all teams will be notified via email.

Due to the financial commitment on the part of the event partner, no refunds will be possible. Thank you for your understanding.

Health and Safety Policies

All events and event attendees are required to follow all local, state, federal, or any other government ordinances regarding safety procedures, social distancing, and best hygiene practices. We will continually assess, based on current government guidelines, whether to postpone, cancel, or significantly reduce the number of attendees when necessary.

Travel Info

Campus Map, Directions, and Parking

The event will be held in the Falcon Center and adjacent Colebank Hall.

Free parking is available in the campus parking garage. From the garage, take the elevator to the top floor and walk across the pedestrian bridge to the Falcon Center. The street address of the parking garage is: 1112 Bryant St, Fairmont WV 26554.

For an accessible entrance or large vehicle unloading, continue up Bryant St. to the point marked “Falcon Center Accessible Entrance and Load-In” on the attached map. From there, enter the Falcon Center on the second floor and take the elevator or stairs down to the gyms. Several accessible parking spaces are located near this entrance.

School buses and other large vehicles can park in the gravel lot located across Locust Avenue/US 19 from campus.

Meals

The cafeteria in the Falcon Center will be open for lunch on Friday and Saturday. Lunch in the cafeteria is buffet-style for $8 per person. Lunch tickets will be available for purchase in the mornings to speed up the line.

Additionally, the Starbucks and Chick-fil-A locations in the Falcon Center will be open throughout the day.

We are a short drive from a number of sit-down and fast-food options; however, outside food is prohibited in the Falcon Center.

Webcast

This event will be broadcast on Twitch at https://twitch.tv/wvrobot. Participation in this event signifies your understanding that your matches may be aired publically for others to view remotely.
