Middle School Excellence Award

On page 23 of the Judges Guide it says the following:

"If the event is blended, determine whether two (2) Excellence Awards must be offered. If ten (10) or more teams are registered at each level (Elementary & Middle School for VEX IQ Challenge or Middle & High School for VRC) two weeks before an event then two (2) Excellence Awards must be offered. If necessary, order an extra Excellence Award trophy, award plate, and date plate for the additional Excellence Award. Contact your Regional Support Manager to make the award configuration change at robotevents.com. Note that if there are fewer than 10 teams at each level, 2 Excellence Awards cannot be offered."

So if, for example, there are 11 or 12 middle school teams registered for your event 2 weeks prior to the tournament, but the day before your event, or the morning of your event, 2 or 3 teams cancel do to concerns about the weather, do you still follow the first part where it says that "(2) Excellence Awards must be offered." or do you follow the second part where it says "Note that if there are fewer than 10 teams at each level, 2 Excellence Awards cannot be offered."?

The respective Qualifying Criteria for each platform (i.e., VEX IQ or VRC) are the governing documents in this regard and the Judge Guide parallels the requirements in those documents. Once the additional Excellence Award is granted for an event, issues of weather or unforeseen issues that would bring the numbers of teams in a grade level below the required 10 teams would not typically result in the loss of the additional Excellence Award. Therefore, both Excellence Awards should be judged and given assuming all other judging criteria for the Excellence Award are met. Please consult your Regional Support Manager for additional guidance on events in your region.
