Competition Preparation

This event is sure to be a fast-paced and exciting event. All teams should come prepared for competition. Here are a few steps that every team should take to ensure that they are prepared.

Read up online about: How to run a team, do your engineering notebook, and the steps to build your robot.


1. Review the rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments. The inspection checklist can be found here.

2. Check the official VEX forums for rule updates and changes.

3. Carefully read all of the information contained in the tournament posting on RobotEvents.com

4. Pack for the event the day before the day of departure. Here are a few items that you don't want to forget.
* Goggles/Safety Glasses
* Spare parts & tools
* Batteries and chargers
* Programming cable
* Power strip
* Laptop computer
* Engineering notebook should have been uploaded to this website. for Design and Excellence Award eligibility
* Banners and other decorations for your team pit
* Giveaways if you have them

5. Be sure to read 101 Things You Should Know Before Your First VEX Tournament.

6. Review the descriptions and criteria for the awards that are being given during the tournament.

7. Prep for your interviews with the judges. Check the awards tab to see what awards will be given during the tournament.

8. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby as the venue is a very tight fit. Also, remember no grinding or other actions that create sparks.

9. Understand how the game will be played. VEX participants are more than welcome to watch the referee training videos before they attend a tournament. The referee training videos can be found here.

10. Read through the Robot troubleshooting guide.

11. Ensure that you have the latest version of firmware.

Teams that qualify for a Florida State Championship Event in Florida will be responsible for the Central/North Florida State Championship.

When you win a state championship spot from a qualifying competition, you will have two weeks to register and pay for the state championship. Yes--you only can play in one state championship) Failure to register and pay within two weeks of the competition date where the state championship spot was earned forfeits your teams state spot--so be sure and plan ahead to register and pay on time and determine in advance the appropriate state championship you plan to attend.  

Teams are responsible to have teams registered and fees paid two weeks following earning the state championship spot, unless of course your event you win a state spot is the final two weeks before states, in which you must be prepared to pay immediately following that event.  

**The State qualifying Skills score cut off will be two weeks prior to the state championship.  The number of teams coming qualifying from the skills list is based on open spots after all events have completed two weeks prior to the state championship.  While teams at events now fill double qualified spots from skills at the event, there will still be teams winning spots from multiple competitions, these additional spots come from the top combined skills scores to teams who have not yet won a spot for a state championship as in previous years.  Teams that qualify from the states skills list will have a short time to registered and pay for the state championship, please plan accordingly and be prepared for a potential invitation two weeks prior to the state championship (either one).

Teams that move on to the World Championship, VEX Worlds 2024,  April 23-May 2 in Dallas, TX, will be responsible for registering for the World Championship event promptly as they will only have ONE week to register AND pay before their invitation to Worlds is lost!  Hint--Plan to win--plan for success--Plan accordingly with your teams from day one to win state spots, win a spot at states and play in worlds!!  Plan to win both in spirit and financial planning!!  Understand the awards and all rules.  Contact Leslie Cruise if you need any assistance on understanding awards or qualifying for states or the worlds championships [email protected]

The teams coach who is officially listed in robotevents as the primary contact receives all team emails, so read the email titles and content carefully.  

All attendees are expected to abide by the code of conduct  .

All participants are expected to complete the participant release form . (also available in Spanish)  Once per season covers all events

7:30AM: doors open with practice fields open:

7:30 - 9:30AM Registration and inspection--turn in engineering notebooks on check in

8:30 Match list Printed and distributed to teams (responsibility is on the team coach to contact the EP if not arriving to check in before 8:30-failure to do so is the team not playing/no refund)

9:15 All robots for matches 1 and 2  on the fields and matches 3, and 4, on the queuing tables 

9:20--Drivers and Event Meeting  

9:45- Opening Ceremony 

10:00 Qualifying matches begin with skills field open 10:30 and run concurrently with qualifying matches: with Judges convening to begin reviewing notebooks (followed with pit interviews)

12:00--1:30: Break for lunch

1:30-3:00  Qualifying matches resume (skills fields close  at 3:00):

3:15 Alliance selections

3:30-4:30 Elimination matches

4:30-5:00 Closing ceremonies and awards

Emergency/Bad Weather Policy

The event will be conducted inside, so weather should not be a problem. If some extremely unusual weather prevents the tournament from occurring, we will let you know at that time.

Judging Format

 

  •  Digital Engineering Notebook Submissions / In Person Team Interviews:
  • Team interviews will be conducted in-person at the event.
  • Engineering notebooks will be submitted digitally for evaluation  via a link found within the "My Account" panel of the team contact on RobotEvents. The submission deadline is 11:59 pm on January 12, 2024.
