All participants are required to complete the participant release form (Spanish form also available). This form only needs to be completed once per season, not each event.

Agenda

(schedule is tentative and subject to change).  Generally is 8am to 5 pm each day with social activities Friday and Saturday evenings after dinner.   Tournament event is open to the public.   Social activities are closed to the public (restricted to teams and team chaperones only).

Thursday -

  • Travel Day to tournament site - varies by school
  • Inspections will be available (time TBA)
  • Practice matches possible
  • Welcome meeting after dinner
  • Dorm Expectations after welcome meeting

Friday -

  • AM - Finish Inspections and practice matches if necessary, Practice fields open, Skills fields open
  • PM - Skills fields open, begin Qualifying matches
  • After dinner - social event TBA (ends approximately 9pm)

Saturday -

  • AM - Wrap up Qualifying matches 
  • Alliance Selections will occur either right before or immediately after lunch
  • PM - Elimination Matches (single match),  Finals (Best of 3)
  • Awards will either be before or after dinner

Sunday - Travel Day returning home - varies by school

Emergency/Bad Weather Policy

In case of emergency/extreme weather, this tournament will be delayed by 1 week. All information will remain the same, excepts all dates will be postponed by 7 days.

Refund and Payment Policies

Due to no payment required, there will be no refund in the event this tournament is cancelled.

Travel Info

Date: 08 February (arrival) and 11 February (departure)

 

Thursday Feb 8

All teams are required to provide their own transportation to this event.  You would be flying into MCI airport (Kansas City International airport).  For pickup from MCI airport, please coordinate with Harry Wood and cc Ben Cardon.  If you are flying, please arrive before 2pm to allow yourself time to deplane, get any luggage and load/board the charter buses. The buses will depart the airport at 3pm SHARP. One bus (or two) will take team coaches and students to KSD.  One bus will take overnight staff straight to the hotel. If you miss it, you will need to make other travel arrangements at your expense (Uber, etc). Buses are on a contract and will follow strict times.  

Teams may arrive anytime on Thursday at KSD. If you arrive before 4:00pm, you will be directed to the gym/student center. Checking into the dorms will begin at 4:00pm. All students will stay in the dorms at KSD. Coaches will stay at a nearby hotel. EACH SCHOOL IS REQUIRED TO PROVIDE AT LEAST 1 OVERNIGHT CHAPERONE TO STAY AWAKE OVERNIGHT IN THE DORM!  Overnight chaperones will stay at the hotel during the day. If you need other arrangements, please reach out.

Teams are responsible for their own meals on travel days. (We will provide all meals starting Thursday night(dinner) through Sunday morning(breakfast).  Anything you eat before or after will be on your own.

There are two hotels reserved. You do not need to do anything. You will be given directions which hotel you are staying at.  Hotels are:

  • Four Points Sheraton, 10574 S. Ridgeview Rd, Olathe, KS 66061
  • Holiday Inn, 10360 S. Ridgeview Rd, Olathe, KS 66061

 

Sunday Feb 11

Buses start at dorms for students and overnight staff.  Will leave by 7:30am.

Buses will go to hotels first.  Remaining school coaches and staff will be picked up.  Bus will depart by 8am or asap.

It's about a 30 minute drive, so allowing for traffic, you should be at the airport no later than 9.    Book flights at 12pm or later to ensure enough time for check in.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.

Team interviews will be conducted in-person at the event. Engineering notebooks are asked to be brought the day of check in. If you are using a digital notebook, you will need to print it beforehand and bring it with you.

Charter buses will provide rides for coaches, chaperones, and overnight staff at scheduled times throughout the Event.   ("Chaperones" here are considered assistant coaches or 2nd shift people (3-10pm)).

Thursday

  • 3:00pm from airport to hotels (overnight staff)
  • 3:00pm from aiport to KSD (students, coaches, & chaperones)

    • Immediately after (coaches and chaperones)

Friday

  • 7:30am from hotels to KSD (coaches and chaperones)

    • 2-3 buses to social event and back around 9pm (students and chaperones)

Saturday

  • 7:30am from hotels to KSD (coaches and chaperones)
