Aggie Robotics is proud to be hosting the 2025 Aggieland Classic V5RC Tournament! This event will be held ON CAMPUS for the first time ever at our wonderful Student Recreation Center on Courts 8 & 10.

 

Concessions will be available for purchase via cash

Pizza order forms will be sent out closer to the competition date!

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Agenda

This tentative agenda may change marginally to ensure the event runs within a reasonable time. Please prepare your teams to be inspected and arrive at queuing tables before their matches. This helps our staff run the competition smoothly for all competitors.

7:15 a.m. : Team Load in - Pit Area and registration open

 

7:30 a.m. : Inspection open

 

9:00 a.m. : Inspection Closes

 

9:15 a.m. : Opening ceremonies and Drivers meeting

 

9:30 a.m. : Match Schedule Released | Skills Field Opens

 

9:40 a.m. : Qualification Matches begin

 

12:00 p.m. : Lunch

 

1:05 p.m. : Resume qualification matches

 

2:45 p.m. : Qualification matches end and the Skills field is closed

 

3:00 p.m. : Alliance selection

 

3:25 p.m. : Elimination matches begin

 

4:30 p.m. : Eliminations End

 

4:45 p.m. : Awards Ceremony

 

5:15  Closing Remarks & Venue Closes

Emergency/Bad Weather Policy

All cancellations will be communicated through email. Please check your email the day before and the morning of the tournament (before leaving).

If cancellation due to weather occurs, refunds will be sent

Refund and Payment Policies

If the event is canceled by the Event Partner:  Refunds will be given to teams 

If the coach/mentor completes registration and then chooses to withdraw or not attend: No refunds will be given

If a cancelation of registration occurs within two and a half weeks prior to the event: No refunds will be given 

**Reduced Registration fees may be available for Teams willing to bring, assemble, & disassemble a V5RC High Stakes Competition Field, contact the event partner for more information**

Health and Safety Policies

This event follows the Health and Safety guidelines for the TAMU Student Recreation Center.

ALL ATTENDEES MUST COMPLETE THE TAMU REC WAIVER FORM BEFORE ENTERING THE COMPETITION. LINK HERE

Coaches, Chaperones, and Parents are expected to supervise their students & children at all times.

Event Rules to be aware of:

- Teams are also asked to bring safety glasses for the drive team during matches.

- Absolutely no power tools will be permitted to be used inside the Recreation Center. If you must cut/drill something, please inform volunteer staff to guide you to the area where this may be permitted.

- No Food will be permitted within the competition area (Courts 8 & 10). Closed Drinks will be allowed. Teams may eat in the lounge area by the Rockwall & Smoothie King, or on the Terrace Deck on the 2nd Floor. Please avoid overcrowding either area as they will still be open to TAMU Students.

 

In the event of an evacuation, please follow all emergency exit signage and regroup outside the front of the Recreation Center on Corrington Dr.

Team Drop Off: Teams may drop off their team & supplies at the front entrance loop on Corrington Dr. Upon entering the building, follow signage to the event area. Please do not park on the Corrington Dr loop, only stop temporarily to unload your team's equipment.

PARKING & BUSES: All normal passenger vehicles may park in lot 100 (see Image Gallery for map, lot 100a is closest to the Rec Center about ~ 5 minute walk) free of charge that day 1/25. If you would like to be closer to the venue, you may park in the West Campus Garage at the weekend rate. 
 
Buses must park in LOT 58 off Penburthy Dr (Spaces 48-76). A map of this lot is in the Image Gallery. Buses must back into these spaces and will be allowed to park there until the end of the event. Please inform me if your organization is bringing buses and how many you are bringing.

 

 

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.

Howdy!
 
The Aggieland Classic V5RC Tournament is just a few days away and we wanted to check in with some important updates and reminders. Please read through this email and carefully and share the information with your organization.
 
** IF ANY TEAMS CAN BRING AT LEAST A FIELD PERIMETER AND TILES (NO FIELD ELEMENTS NEEDED), PLEASE EMAIL ME **
 
1. Please have each attendee with your organization complete these forms and turn them in to me via email or in person at the event check-in table.  Your team must provide these completed forms to enter the competition area and compete.  Rec Center Waiver | Talent & Media Release Waiver | TAMU Student Org Waiver (Student Org Waiver & Talent Waiver are attached in the Documents & Image Gallery Tab of the event, the Rec Waiver is to be completed online)
 
2. LUNCH & PIZZA ORDER FORMS: Please complete this form to order pizza for your team(s). In order to be secured, this form must be completed and Venmo paid by 5 p.m. Friday, 1/24. These pizzas will be distributed in Room 1132 (follow signage and volunteer guidance to the room). We will also provide napkins and bottled waters.  Teams may eat in Room 1132, on the 2nd floor Terrace, or in the lounge area by the Smoothie King. Please avoid overly congesting the Smoothie King Lounge and Terrace spaces as there may be other TAMU Students who want to use the space.  However, with it being an early semester weekend, we expect the building to be relatively low traffic. It is worth noting that the only other dining options at/ near the event will be the Smoothie King by the main entrance, and the Memorial Student Center (about a ~10 minute walk from the Student Rec Center)
 
3. WHEN YOU ARRIVE
               - Drop off teams, robots, and equipment on the loop in front of the main entrance on Corrington Dr.; volunteers & signage will be posted outside and in the Rec Center to help guide you to the competition area.
               - When you arrive at Check-in, you & all individuals within your organization will receive a highlighted wristband to be worn & visible at all times during the event. Teams will only receive this upon confirmation that everyone has completed the required waivers listed in point 1. These wristbands will help our volunteers and Rec Center Staff ensure participants remain in the appropriate areas for the duration of the event.

5. Come Prepared

               - We want to make sure this tournament runs as smoothly as possible and would appreciate your help in making this happen. Please ensure your team(s) robot is ready to be inspected (fits in size, updated firmware, secure license plates, etc) and that your teams make a good habit of tracking their match schedule and arrive to queueing early.
 
6. Respect the Campus & Attendees
              - Please be aware that per Rec Center Rules NO FOOD WILL BE ALLOWED IN THE COURT AREA. Only sealable drinks.
              - Please supervise your students and ensure they do not wander the facility outside of the competition and dining areas.
 
7. Please look over the attached rough mock layout of the event to familiarize yourself with the event setup. This may change slightly but should remain very close to this layout.

-  Any tools are used in a safe manner and appropriate PPE is available to your teams.
-  No power tools of any kind (with the exception of an electric air compressor) are to be used inside of the venue. If teams need to do any type of cutting/ drilling it must be done outside of the venue and under the supervision of an adult Mentor/Coach/Chaperone along with appropriate PPE.
