General Info

Welcome to the 1st Freeze Out VEX V5 competition in our new state-of-the-art Robotics and STEM facility!  We are happy to be hosting events this season and look forward to welcoming all of our fellow middle school teams in the Houston region! 

  • Please do not register for this event if you cannot attend the entire event. 
  • No team has the right to bring and/or setup a field without prior written authorization from the event partner. If your team attempts to setup a field, they will be asked to put it back in their vehicle. It cannot be left on the premises.
  • No food or drinks are allowed in any carpeted area.

Teams that do not follow the above statements or the Code of Conduct could face disqualification and reporting for violating the Code of Conduct.

***This event has a payment deadline. All teams must have payments posted no later than January 3rd, 2025. Any team without payment by that date will be moved to the waitlist and other teams from the waitlist will be offered the spot.***

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Volunteer

We welcome anyone interested in helping on the day of the event and would love any help or guidance from veteran tournament operators. As a part of ensuring the best possible judging outcomes, we ask if any teams have parents or volunteers that could be a part of the notebook and interviewing and judging, please let us know. We want to present a fair and impartial judging. Volunteers will receive a free t-shirt, lunch, and snacks throughout the day.

Emergency/Bad Weather Policy

All cancellations will be communicated through email. Please check your email the day before and the morning of the tournament (before leaving).

If the event is cancelled by the event partner, the event will be rescheduled if possible. 

Refund and Payment Policies

If the Event Partner cancels the event: 

Refunds will be provided less the REC fees. If the event partner reschedules the event, no refund will be provided, but the team will be registered for the new date.

If a Coach/Mentor completes registration for the event and then chooses to withdraw or not attend:

No refunds will be processed. 

Judging Format

Digital Engineering Notebook Submissions / In-Person Team Interviews: Team interviews will be conducted in person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents.

A submission deadline is January 3, 2025 at 11:59 pm to allow notebooks to be reviewed prior to the event date.

Teams will be interviewed at the event in person. Notebooks will not be accepted at the event. 

Lunches

Concessions will be provided throughout the event.
