General Info

Thank you for registering for the  5th Annual VEX  in the Valley Competition! Spectators are welcome!!!!

Facility and Event Information 
VEX in the Valley will take place in our Gym. There will be an attached map which shows where you can unload and park. 

  •  Fields – We will have 2 match field, 1-2 skills field / practice field. Practice fields will open at 8am. Your teams must have passed inspection to be on the practice field. Please have teams reset the field after they are done.
  •  Pits – Each team will have a pit area with a table and four chairs. More chairs will be available if needed. Tables will have access to power strips, you may need to bring your own to extend the area. Each table will also have a trash can to help keep the space clean.
  • Restrooms are located outside the Gym close to the entrance.
  • Displays and Monitors – There will be SmartBoards around the gym that will display the skills as well as upcoming matches.
  • Concessions- We will have a concession stand open in the Cafeteria area that will open around 9am. Pricing list to follow
  •  Lunch will be from 12pm-1pm- you may bring your own lunch or support our team by buying from the concession stand.
    • Snacks and drinks are allowed in the gym, however, please clean up after yourselves and if there is an accidental spill let someone know ASAP so we can get it cleaned up.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

 7:30am – Doors Open

7:30-9:00- Registration, Inspection, practice  

9:00 Driver Meeting and Opening Ceremonies

 9:15-12:00pm Qualification Matches and Skills

12:00-1:00- Lunch (skills)

1:00pm – Alliance Selection

1:30-2:30- Elimination Rounds and Awards

 2:30- Clean up and go home

Experience level: No previous experience is needed for most volunteer positions, and you can even bring your kids for a family activity (for example, Field Resetter is an ideal position for young children). Referees and Judges do have age requirements, and are available in the Judge Guide and Referee Guide

Time Commitment: You can register for an entire day, or just a portion of the day as your schedule permits for most positions.

Meals: Lunch is included for volunteers that volunteer for at least 2 hours.

Volunteer Positions Needed:

  • Judges (no previous experience required) *All day commitment
  • Referee/Scorekeepers (previous experience preferred)
  • Field Resetters (no previous experience required)

Emergency/Bad Weather Policy

In the case of bad weather, coaches will be contact by email or their provided cell phone number as soon as possible. If there is bad weather, the event will start at 9:30am and we will adjust the match schedule to end by 4:30pm. In the case of extreme weather, the event will be canceled and refunds will be issued. This cancellation is at the discretion of the Event Partner

Refund and Payment Policies

If the Event Partner cancels the event: Full refund will be given.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

If a Coach/Mentor chooses to withdraw or not attend thirty days prior to the event (January 10, 2024), a refund minus $10 ($5 for the RobotEvent fee and $5 inconvience fee for the team) will be sent back to the team.

 

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
