General Info
This is the “Water Game'' you have all been waiting for! We will have live matches in the middle of the ocean upon the Royal Caribbean's Harmony of the Seas. The matches will take place during our days at Sea so all guests will have time to take advantage of riveting excursions in the Caribbean. It is vital to keep flexible as this is the first time an event has been held in the middle of the Ocean.
- Most of our teams will be traveling from out of town and will want to book a hotel the night prior to ensure you make boarding time. We suggest the Tremont downtown for its close proximity to the port. More information can be found under the Travel tab.
- Immediately after registering your team on robot events, you will need to book your cruise. This must be done from a provided link that will be sent to your email on file. This Signature Event is being released earlier than many others due to the way that cabin booking(s) occur. All cabins - for competitors, parents, friends, mentors, volunteers, etc must be placed through the booking company that Royal Caribbean has set up. Please do NOT book cabins on your own. Our rates are the same as RC rates, but all rooms must be booked through our group so that we confirm that we have the right adult-child ratio for the cruise line. https://musfestivals.grcoll.co/v2/go/nationalrobotics
- Specific details about the cruise will be provided upon your booking. Many of these can be customized. Internet will be a requirement, as it is needed to support VEX VIA.
- Coaches will have questions, We ask that coaches post in slack so that these questions and answeres can be shared with all teams. It is our goal to make this the competition of a lifetime and provide your teams with memories to treasure for years to come.

Please note that these prices are not the same as will appear on the RCCL website. This group is booked through the Special Events Department at Royal Caribbean and these prices include the costs associated with the use of the ship’s venues, staff, sound, lighting, storage on the ship and all necessary expenses required for them to host our event. To participate in the Robotics event, everyone must book through these packages and anyone booking directly with RCCL will not be permitted to participate. We have no choice and have to be able to cover all the additional costs associated with the Harmony of the Seas hosting this competition. In addition, the prices below include the pre-paid gratuities
The RCCL Internet will be included for all Team Advisors as part of their cruise package.

The important thing to remember is that we are on "Island Time" and we work with what the weather brings us. Some times cruises are delayed, and the majority of the time they depart for smooth sailing.
In the event there is a delay with the cruise, we will plan on
Refund and Payment Policies
If the Event Partner cancels the event: Every attempt will be made to reschedule the event, If the event cannot be rescheduled, we will provide a refund, (minus) the percentage that is reserved for RECF processing fee.
If a Coach/Mentor completes registration for the event and then chooses to withdraw or not attend: A refund will not be provided.
Judging Format
Remote judging will occur before the cruise for all teams. We are targetting these interviews to be conducted between December 14-22 and December 27-30 at this point.
Notebook submissions are due by December 14th at this point, but this date may change.
Engineering Notebooks will be submitted to judges digitally via a link found within the "My Account" panel of the team contact on RobotEvents.
Signature Event Early Bird Policy
- All Signature Events will have a specific Early Bird Registration that is independent of all local/regional Early Bird systems
- Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period
- An opportunity is taken away each time the team registers for a Signature Event, whether during the Signature Event Early-Bird period or Standard period
- A Signature Event Early-Bird opportunity is not taken away if a team registers for a tournament hosted by their school or organization (where the team’s coach is the Event Partner)
- Early Bird Registration will open 16 weeks before the event at 12:00PM EST
- Note: Modifications to this may be made for events in August and September and other events as deemed necessary by the REC Foundation
- Standard Registration will open 14 weeks before the event at 12:00PM EST
- An Event Partner may register their own teams to their Signature Event during Signature Event Early Bird Registration no matter how many other Signature Events they are already registered for
- The Event Partner must be the Primary Contact for the teams they are registering
- Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period
