General Info

Registration Information

All participating teams must be registered with VEX Robotics and the Robot Events website and have an official team number before registering for this event. Tournament fees must be paid before teams are allowed to compete. Registration and payments should be made through the Robot Events website.

Engineering notebooks

We will be doing in person physical notebooks

Lunch and Concessions

Full concessions will be available from 9 am to 3 pm.

Finals Matches

Up to 36 teams will be paired up and participate in Finals matches. 

Competition Preparation

All teams should come prepared for competition. Here are a few steps that every team should take to ensure that they are prepared.

 

Review all game information:

  1. Review the rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments. Robots must use VEX IQ parts. Please self inspect before arriving at the tournament using the IQ Robot Inspection Checklist

  2. Check the official VEX forums for rule updates and changes.

  3. Carefully read all of the information contained in the tournament posting on robotevents.com

  4. Pack for the event the day before the day of departure. Here are a few items that you don't want to forget.

    • Spare parts & tools

    • Batteries and chargers

    • Power strip and extension cord

    • Laptop computer

    • Programming cable

    • Banners and other decorations for your team pit table

    • Giveaways if you have them

  5. Be sure to read VEX Tournaments 101.

  6. Review the descriptions and criteria for the awards that are being given during the tournament.

  7. Prep for your interviews with the judges and read the Judge's Guide. Check the awards tab to see what awards will be given during the tournament.

  8. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby, as teams are close to each other in the venue pit area. Also, remember no grinding or other actions that create sparks, ask the tournament director for a safe location if grinding is needed.

  9. Ensure that you have the latest version of programming software and firmware for your IQ Brain.

Participation and Consent Form

  1. Obtain the team’s program and team number/letter from the coach. Examples: Program: V5RC, Team number/letter: 404C; or Program: Aerial Drone Competition, Team number/letter: 2468D.
  2. In a browser window, navigate to the REC Foundation Smartwaiver form. Alternatively, navigate to the Spanish language version.
  3. Follow all onscreen instructions and complete the form. Note: Be sure to select the correct program and to enter the EXACT team number/letter (or, for VURC, letter/number) without additional spaces or characters. (Not acceptable: '404 C',  '404', '404C ',  or  '404A/404B').
  4. If a mentor, coach, or parent volunteer needs to complete a form for more than one team, the form should be submitted separately for each team. In other words, only one team number/letter can be on each form.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Agenda

Here is the schedule! We have set the current agenda.

7:00 am Doors Open

7:30 am Registration Opens, and inspections begin (Judging starts)

8:00 am skills fields open

9:00 am Check-in and Inspection ends, Teams MUST be checked-in before 9:00 A M, as the Match Schedule will be run at that time and WILL NOT be re-run. If your team is running late, call the Event Partner or the match schedule will be run WITHOUT your team.

9:00 am Drivers meeting

9:30 am Teamwork challenge rounds begin

Noon to 12:30 pm Lunch break 

12:30 pm to 3:00 pm teamwork challenge rounds finish

3:15 pm Qualification matches end; skills field closes when Qualification matches are done

3:30 pm - 4:15 pm Finals matches & awards presentations

4:15 pm Break-down, please help take down equipment and clean up the venue

Emergency/Bad Weather Policy

Teams will be notified if the event is canceled for Emergency/Bad Weather.

All teams will be notified by email to the mentor if the event is canceled before the event.

The event cancelation will be posted on Robotevents.com

Refund and Payment Policies

Payment is due 2 weeks prior to the event.

Cancellations earlier than two weeks prior to the event may request a full refund, less the RobotEvents $5 handling fee. Teams that cancel later than two weeks prior to the event will not receive a refund, unless it is determined by the Event Partner that there are extreme extenuating circumstances.

Any teams that register less than two weeks before the event must pay at time of registration.

If the event is canceled due to circumstances outside of our control, a refund will be issued to teams minus the $5 RobotEvents processing fee.

 

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
