Welcome

Welcome to the Illinois VEX Robotics HS State Championship! This event requires that you qualify at a regional Illinois event. This Championship is a qualifier for VEX Worlds! Please check the Awards tab for information on which awards will qualify teams for Worlds.

**********  MUST READ **********

Due to circumstances outside of our control, this event will happen past the RECF deadline for regional events. This means there will be a few changes to the normal process. Please read them below and by registering for this event you are agreeing with and plan to follow these changes.

1. All skills scores posted at this event will not be posted to the world skills standings. This is because the season will have already ended and the standings will be finalized. Double or triple qualifying world spots will still be handed out per the qualification documentation.

2. All teams that earn a world qualifying spot MUST register immediately for their world spot. Please have a conversation with whoever you need to in order to have permission to register for worlds on 3/23/24 should you earn a spot.

3. Teams will need to pay for their worlds registration fee ASAP. Normally there is a two-week window but that will not happen this time. The window could be shorter than 1 week. Please have a conversation with whoever you need to in order to have payment made ASAP should you earn a spot to worlds.

4. This one is just a recommendation. The vast majority of VRC HS in the world will have already received, registered, and paid for their world spot. They will also have booked a hotel. I highly recommend if you have a top twenty team that you book a hotel well in advance because by the time you find out if your going the good hotels will be booked.

Competition Preparation

This event is sure to be fast-paced and exciting. All teams should come prepared for the competition. Here are a few steps that every team should take to ensure that they are prepared:

1. Review the rules and run through the inspection checklist about a week before the competition so your team has ample time for adjustments. The inspection checklist can be found on the Documents tab. Please pay special attention to the size of any string used and any horizontal expansion prior to the end game including intakes. Additional information on rules can be found on the Official VEX Forums.

2. Pack for the event the day before, and remember to bring the following:

  • Goggles/Safety Glasses
  • Spare parts & tools
  • Batteries and chargers
  • Programming cable
  • Power strip and extension cord
  • Laptop computer
  • Engineering notebook

3. Remember that safety comes first. Please don't bring tools that pose a safety risk to your team or others nearby. Absolutely no grinding or other actions that create sparks.

4. Make sure the robot components have been updated to the latest firmware revision. We will be using the Smart Field Control. Please make sure your firmware is the most current version and your team number is entered correctly. This will be checked at the inspection table. There will be a special email with all instructions on this process prior to the event.

5. Each player and coach/mentor must have a completed and signed Participation and Consent Form. The team coach/mentor will need to collect the completed forms for all team members attending the event and turn them in at the check-in table. The form can be found on the Documents tab.

Waiting List

If this event is full, please feel free to add your team to the Waiting List and then contact the Event Partner (Primary Contact on the General Info tab). You must be on the online waiting list through robot events to be added if a spot opens. If you are moved from the Waiting List to the Registered Teams List, please be prepared to pay for the event promptly at your robotevents.com account, or make arrangements with the Event Partner to pay directly at the tournament.

Walk-up Teams & Walk-Up Skills

Walk-up teams WILL NOT be permitted to compete, either in the tournament or to run Skills Only. There are no exceptions. If your team wishes to compete, they must register before the registration deadline.

3:00pm - 8:00pm - Skills Fields open with a break from 5:30-6:00 for Driver Meeting (If teams are in line a person from the team may remain in line as long as they have the team's Skills pass.)

5:30-6:00 Opening Ceremonies and Drivers Meeting

6:00pm - 8:00pm Qualification Matches

8:00 - Venue closes

Saturday

7:30 - Venue Opens

7:30 - 8:15am - Morning Check-in, any team inspected Friday night that leaves with their robot must do an inspection on Saturday as well. There will be a special line for these teams as this inspection will be quicker and not require a field test.

8:15am - 8:30am - Morning Update for the day (all teams must be present)

8:30am - 12:00am - Qualification Matches and Skills*

12:00am - 12:30pm - Lunch

12:30pm - 3:30pm - Qualification Matches and Skills*

The skills fields will close at 3:30pm or when the last qualification match starts whichever is earlier. Any team that is currently on the field at the end time may make their run. All in line will not be permitted. Between Friday and Saturday, there will be plenty of time to get your runs in. Do not wait until the last minute.

5:30pm-6:00pm Awards

6:30 pm - Venue Closes

* Teams must have their skills pass in the skills line with them to be in the line. Anyone without a skills pass in the line will be asked to remove themself from the line. No saving spots and no line hopping. Any team in violation of this will be reported to the Head Ref and the Judges for unsportsmanlike conduct and possibly issued a violation.

** Robots must pass inspection before being allowed on any field including the practice fields.

Volunteers are always needed. Volunteers typically will receive a volunteer shirt and be fed for the day. We have many different needs from simply sitting at a table checking people in to being a ref or a judge.

If VEXU teams provide 2 or more volunteers you will be allowed to run your skills matches at no cost at each session the volunteers are present.

If the event is canceled due to weather or any other unforeseen circumstance, it will be posted here on this event website.

Refund and Payment Policies

If the Event Partner cancels the event: If the event cannot be rescheduled, the Event Partner will refund the registration fees minus the REC processing fees.

If a Coach/Mentor completes registration for the event and then chooses to withdraw or not attend: Refunds may only be issued if the coach/mentor sends an email two weeks before the event. There will be no refunds for teams who withdraw two weeks prior to the event or do not attend the event.

Judging Format

In-Person Interviews - The Team Interviews will be judged in person on the days of the event.

  1. Teams will go up on the stage to complete their interviews.
  2. We recommend they do this after a match.
  3. All initial interviews should be completed by 10am Saturday.
  4. Interviews will happen on Friday and Saturday.

Digital Notebook Submitions -  Engineering Notebooks will be submitted digitally before the event. Digital notebooks are due by 6:00 pm on Thursday, March 14th.

What the Judge Advisor would like teams to know.

PUT YOUR TEAM NUMBER ON PAGE 1 OF YOUR DIGITAL NOTEBOOK!

State Championship will judge for the Innovate Award which will qualify for a spot to VEW Worlds.
1.  To be considered, teams must submit the Innovate Award information.
2.  Teams may only submit ONE innovative feature or attribute.  If they “try to stack them”, their submission will be disqualified per the Vex Q&A.
3.  This award WILL qualify for a spot to VEX Worlds.  Teams should take this seriously, give it careful consideration, and submit it. 
4. Here are the key criteria of the Innovate Award.

State Championship will also judge for the Think Award which will qualify for World.
1.  If teams believe they are a contender for the Think Award, they should be prepared for an interview on this topic, separate from their general interview.  Imagine sitting down with a programmer experienced with Vex.

Food/Concessions

There will be concessions available on both days for spectators and teams.

Below is the preorder form for teams. We will not be able to accommodate day of orders, teams will need to preorder no later than 8am, Wednesday, March 20th

Friday 3/22 will be served at dinner time.

Saturday 3/23 will be served at lunchtime.

There is no Saturday dinner option.

We will have Fine Designs onsite selling custom 2024 Illinois State Championship items. They will be in the foyer near the concession stand.

Olivet Nazarene University's CS and Engineering department will be selling merchandise made in their labs to raise money for their department.

College Tour and Early Load In

Sign up for a campus tour while you are on campus for the VEX Illinois State Robotics Competition and receive a free lunch for your group! This opportunity will be limited to just the first 100 participants to sign up, so register now to reserve your spot! 

Teams that take advantage of this can also load their robots and equipment into the pits when they arrive.
