Welcome to UT Tyler’s UT-Terly VEX-tacular Final Countdown VRC Tournament event!
The event will take place in the Main Atrium of the Soule’s College of Business. Doors open at 8:00 am, so make sure your power packs are charged up and your digital engineering notebooks are uploaded! Speaking of notebooks, they’ll be accepted until 9:00 am—so don’t miss that deadline!

Your payments must be shown in the system as paid by Feb 1st, 2024 in order to participate in the competition. Please get on the waiting list if the competition has filled and if any spots become available we will contact you.

8:00 AM - 9:00 AM: Venue Setup
- Staff and Volunteers Arrive: Set up competition fields, registration tables, pit areas, and seating arrangements.
- Teams Arrive: Teams can begin unloading and setting up in the designated pit areas.
9:00 AM - 9:30 AM: Team Check-In and Inspection
- Check-In: Teams register at the check-in table and receive their competition materials.
- Robot Inspection: Officials conduct safety and rule compliance checks on all robots. Teams must pass inspection to compete.
9:30 AM - 9:45 AM: Opening Ceremony
- **Welcome Speech**: Introduction by the Event Coordinator and a brief overview of the day's events.
- **National Anthem**: Performance of the national anthem.
- **Introduction of Teams**: Acknowledgment of all participating teams and brief introductions.
9:45 AM - 11:45 AM: Qualification Rounds
- Matches Begin: Teams compete in a series of qualification matches. Matches will be scheduled back-to-back to maximize efficiency.
- Judging Sessions: Teams participate in scheduled judging sessions for awards like Design, Excellence, and more.
11:45 AM - 12:30 PM: Lunch Break
- Lunch for Teams and Volunteers: Lunch orders may be placed at the concession stand prior to 10:00am, or teams may bring their own meals.
- Practice Field Open: Teams can use the practice field during the lunch break for final adjustments.
12:30 PM - 2:00 PM: Qualification Rounds Continue
- Ongoing Matches: Continuation of the qualification matches.
- Skills Challenges: Teams participate in driver and programming skills challenges if not competing in qualification matches.
2:00 PM - 2:30 PM: Alliance Selection
- Alliance Formation: Top-ranked teams select their alliance partners for the elimination rounds. This process is crucial for the strategy in the final matches.
2:30 PM - 4:30 PM: Elimination Rounds
- **Quarterfinals**: Alliance teams compete in knockout rounds.
- **Semifinals**: Winning alliances advance to the semifinals.
- **Finals**: The top two alliances face off in the final match to determine the champion.
4:30 PM - 5:00 PM: Awards Ceremony
- Recognition of Teams: Presentation of awards for Tournament Champions, Excellence Award, Design Award, Skills Champion, and other special recognitions.
- Closing Remarks: Event Coordinator gives closing remarks and thanks participants, sponsors, and volunteers.
5:00 PM - 6:00 PM: Event Breakdown
- Team Departure: Teams pack up their equipment and depart the venue.
- Volunteer Cleanup: Volunteers assist with dismantling the competition fields and cleaning up the venue.

Refund and Payment Policies
If the Event Partner cancels the event:
Refunds will only be made if the event is canceled by UT Tyler. Refunds will not include the $5 processing fee assessed by Robot Events for processing.
If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:
If you need to cancel your registration, please do so at least two weeks in advance for a refund. Failure to cancel at least two weeks in advance will result in no refund.
Payment Policy:
Your payments must be shown in the system as paid by Feb 1, 2025 in order to retain your spot in the competition. This is to allow the event partner time to find a replacement team.
Please get on the waiting list if the competition has filled and if any spots become available I will contact you.
Judging Format
Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents. A submission deadline that may be scheduled ahead of the event date.
Anyone participating in the event must fill out the first page of the release form and those under 18 years of age must also have the second page filled out with the appropriate printed names and signatures. No one will be allowed to attend the event unless the release form is filled out correctly. Thank you!
