Información general
General Information
The tournament will be held in our main hallway and commons. This is a large hallway with an upper level that looks down on the fields. Chairs will be in this upper area, allowing for great views for our spectators. Enter the school at the main entrance (the entrance with the Syracuse sign).
There are several fast-food restaurants nearby for lunch. I am hoping to open our school store which will offer a variety of concessions. I will send a separate email closer to the date of the tournament updating everyone on this.
Digital Engineering Notebooks
All engineering notebooks need to be in digital format and submitted by 5:00 pm Mountain Time, Friday, January 3th. Please note, for many this deadline will be during winter break. Notebooks are submitted through the team's RobotEvents.com logins by one of the team's registered contacts. The resource section has a great template for digital engineering notebooks. Check your link to ensure it works properly. My students have had issues with the district blocking their ability to share their notebook with people outside the district. I had them send it to me where I can share it back to them from my account and then provide the link on RobotEvents. All teams will be interviewed by the judges, but only those who submit a digital engineering notebook, on time, will be considered for the Excellence and Design awards.
Competition Preparation
This event takes place late in the season so we should not need too much time for questions and answers. However, game rules are updated regularly so teams are advised to:
- Review the game rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments. The V-5 inspection checklist can be found here.
- Check the official Q&A for the latest rule updates, changes, and clarifications.
- Carefully read all of the information contained in the tournament posting on RobotEvents.com
- Pack for the event the day before the day of departure. Here are a few items that you don't want to forget:
- Goggles/Safety Glasses
- Spare parts & tools
- Batteries and chargers
- Programming cables
- Power strip
- Laptop computer
- Review the descriptions and criteria for the awards that are being given during the tournament. The requirements for the Design Award figure into all the judged awards that will be given at this tournament: Judges, Design, and Excellence. There is a new Judging Guide out this year that you may want to look at.
- Prep for your interviews with the judges. Our judges have given up their Saturday to interview you. Please make this worth their time.
- Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby as the venue is a very tight fit. Also, remember no grinding or cutting allowed. If you have an emergency need for a grinder, ask the Event Partner for assistance.
- Ensure that you have the latest version of firmware on your robot brain. Currently (August 2023) the most up to date version of VEXos is 1.1.2.
- We will be using VEX Smart Field Control. Please ensure that you have your team number in your robot brain. See Smart Field Control – REC Library (roboticseducation.org) for details.

Skills Challenges
Per REC Foundation guidelines, all teams will be allowed 3 Programming Skills attempts and 3 Driver Skills attempts. Attempts of one type that are not used are not transferable. With two dedicated Skills fields, there should be adequate time for each team to complete their allowed runs if they use the natural breaks in the qualification rounds to make their skills runs. The Skills fields will close at the conclusion of the Qualifying Matches. With the large number of teams that we anticipate, it will be a long day, and we don't want to make it any longer than necessary for those who have long distances to travel to get home.

- ~15 minutes after the end of Qualification rounds, Alliance selection begins
- ~15 minutes after the Alliance selections, the elimination Tournament will begin
- Immediately after the final match of the elimination tournament, awards will be given out.
*Skills will be availible until qualifying matches are finished
*Please be aware that the event will move with the matches. This means that your match may take place earlier than it is written on the schedule!!! Please keep track of matches and be sure you are at the queuing tables on time when your match is called! Teams who are not present when called to the field will be disqualified from that match. No exceptions.

If bad weather prevents you from attending, your registration fee may be refunded upon request (The $5.00 that comes off of the top and goes to RECF is not refundable.)
Refund and Payment Policies
If the Event Partner cancels the event:
Every attempt will be made to reschedule the event. If a reschedule is not possible or you are not able to attend the rescheduled date, you may request a full refund (less the $5.00 that stays with RECF).
If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:
If it becomes necessary for you to cancel, and you let us know before January 3, you may request a refund. (less the $5.00 that stays with RECF). However, there will be no refunds for no shows.
Judging Format
- Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents. A submission deadline that may be scheduled ahead of the event date.
