Allgemeine information
This event is open to all VRC teams from any region. The event will be held in KU's LEEP2 building. Attendance on the Friday night is not required, but this will allow some teams to run skills the night before and reduce skills lines on the Saturday as well. Each team will receive at least 6 qualification matches and will be provided ample time to get in all of their skills runs. We will have at least 3 competition fields, 1 skills field, and 1 pracitce field. If team's are willing to bring and set up a field they will have their registration waived. Reach out to me if this interests your organization. This will allow us to have more skills fields and/or practice fields.
If any members of any teams are interested in touring KU, please send me an email and I will put you in contact with undergraduate recruitment.
Note: Teams who have not paid by January 4th will be moved to the waitlist until they pay. (teams can still register and pay afterwards)
Venue: This event will be hosted in KU's engineering complex (LEEP2). Pictures of the venue are in the image gallery (doesn't load on mobile)
Participation and Consent Form: All participants must complete the consent form online before attending the event.
Waiting List: If this event is full, please add your team to the waitlist and contact the event partner.
Pits: there will be 3 pit rooms. We ask that parents stay out of these rooms as much as possible as there will be other seating. All teams from 1 organization will be in the same room. Each team will have a semicircle table approximately 7 ft in diameter. Each table will have 1-2 outlets.
Match queuing: there will be a livestream running to all of the pit rooms. Pit rooms are only a 1 minute walk from the fields. Each team will be responsible for making sure that they show up to their matches on time. Plan to show up to the queuing table as soon as it opens to your team. We have a long day and we will start matches without teams if they are not there.
Food: teams are welcome to bring their own food to the event. There are vending machines in the venue and there is a small coffee shop that sells items like muffins and sandwiches in addition to drinks. This is run by KU dining services so we can’t guarantee they won’t run out. We will also be bringing in pizza for teams who prepay. A google form for ordering will be sent out closer to the event.
Fields: when running matches, we will use 3 metal fields to run matches, 1 portable field for skills, and 1 portable field for practice. Over lunch, we will have 2 portable skills fields and 2 metal practice fields. The metal fields will not have the gps strip.
Friday night: The Friday night part of the tournament is completely optional. During this time, teams may get inspected, run skills, and use the match fields for practice once they are set up. This is a great opportunity for teams who want to guarantee they'll get all 6 runs in or hate waiting in lines. The building will not be locked overnight so plan to take everything back with you.
Tabling: During the event, we will have KU clubs and a representative from the School of Engineering tabling to engage with students. This is a great way to pass the time between qual matches and learn more about KU's engineering program. We will also be running tours of the engineering campus throughout the day and have a guest speaker during the opening ceremony.
Rules: We are going to be very strict to the rules at this competition. Ensure your robot passes inspection as no grace will be given at this point in the season. Ensure you are within size and don't accidently have illegal parts on your bot. Just because you pass initially doesn't mean something can't be pointed out after the fact and need to be remedied. Read up on the Q and A and game manual. Make sure you follow the match loading rules, make sure you don't enter the opponents goal to score in autonomous etc.
Payment: Payment is due 1 month before the event. There is a waitlist, so if you want to keep your spot, ensure you pay ASAP.
Parking: All parking lots are free starting at 5pm on Friday. Coaches may want to consider dropping off the students and parking in the lots that will not be close to basketball at 11am. The basketball game is set to end 1 hour before our tournament so it shouldn't be an issue as teams go to leave. For parking while the game is ongoing, this is directly from KU parking: The parking fine for being in these parking lots after the restriction time is $100 and escalates $10 each time it is issued. If you need to be on campus on one of these game nights and are not attending the basketball game, please consider the following: parking lots that will be preempted for game parking are lots 20, 31, 54, 70, 71, 72, 90, 93, 117, 118, 125, and 127, along with the Allen Fieldhouse and Central District garages.Students with valid permits who are on campus for academic purposes can park in most parking lots north of Jayhawk Boulevard, or in lots 34 and 61/62 (Sunnyside & Illinois) after 5 p.m. with a valid parking permit. Faculty and staff with valid permits may also park in lots 6, 7, 17, 35, 37, 41, and 129. See our map of game night restrictions.For those of you who are on campus all day, we recommend choosing a parking lot zoned for your permit on the north side of campus in order to avoid needing to move your car before 5:30 p.m. Another good option is to use the Blue Circulator (route 42) from stop 3 on Becker Drive in West Campus. Any valid KU parking permit may park in lot 302, and then use a bus to get to Main Campus. Route 42 runs from 7 a.m. until 5:30 p.m., then changes to route 44, which runs every 30 minutes from 5:30 p.m. until 10:30 p.m. Monday through Friday evenings. Events like this can't happen without volunteers. There are roles that require no prior experience and even opportunities for children. If you are interested in any position volunteering please reach out to me via email.
This event will be offering VexU skills. If your VexU team volunteers at the event we will allow you 6 skills runs.

In the event of extreme weather, the event will be canceled and teams refunded. However, this is very unlikely as this is a 2 day event. It is unlikely the event will be rescheduled.
Refund and Payment Policies
If the Event Partner cancels the event:
We will provide full refunds to all teams minus the $5 processing fee on robot events.
If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:
The funding from this event is going towards paying for KU's VEX U team's attendance at Worlds. If a team drops out of the event no refund will be given, but expectations will be considered on a case by case basis if the reason is outside of a team's control (such as weather or a medical event). If you are going to cancel, let me know ASAP so that teams on the waitlist can be added.

Parking on KU campus is free starting at 17:00 on Friday. However, it can be a bit tricky to find a spot close to the venue. Teams may want to consider dropping off a member with their robot at the venue that way they don't have to carry the robot across campus with. We will have more deatils about whcih lots teams can park in closer to the time.

Judging Format
All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
Note: the event may channel to virtual notebook submissions depending on the availability of volunteers. In the event this happens all teams will be notified well in advance.
