Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Signature Events are only made possible by the great volunteers who staff the event. The Speedway Signature Event is no exception; we always aim to have the best staff of volunteers at our event. 

We are currently seeking volunteers in the following areas:

• Registration
• Inspection
• Field Resetters
• Scorekeeper Referees
• Skills Referees
• Setup/Teardown

All head referees at the Speedway Signature Event hold previous experience from the World Championships and other Signature Events, State/Regional Championships, and local events. Judges will be unrelated to any participating teams.

In the event of any emergency or bad weather, we will post updates to Robot Events and email coaches. 

If your arrival will be delayed, please call or text (317) 985-5111 with your team number, and we will do our best to accomodate you. 

Refund and Payment Policies

If the Event Partner cancels the event: A full refund will be given.

​If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend: No refunds will be given.

Payment should be received within three weeks of registration. Teams registered within a month of the event should pay upon registration. Teams who do not meet the payment deadlines will be moved to the waitlist.

This event is held at the Dallara IndyCar Factory, one of the World's premier race car factories. The factory is located in Speedway, Indiana, just minutes away from the Indianapolis Motor Speedway. There are many hotels and restaurants throughout the Town of Speedway. 

Discounted Hotel Blocks

We have secured a limited number of blocks of hotel rooms that are close to Dallara. The following hotels are providing a discount for the attendees of the Speedway. The rates include free cancellation up to a certain date. Most hotels require cancellation 48 hours before arrival in order to receive a full refund. We have not stayed in all of these hotels, so please do your own research on amenities, hotel ratings, and proximity to Dallara in order to ensure you will be happy with your stay.  Most hotel blocks are being held until October 16th.

Judging Format

Hybrid judging format:

Engineering Notebooks will be reviewed in advance of the event by the Judges.  We believe this will allow the Judges to spend more time with the Notebooks and therefore better reward the awesome effort that teams put into their Notebooks.  We ask that all teams submit their Engineering Notebooks on RobotEvents NO LATER THAN 5:00 PM ON MONDAY, NOVEMBER 6, 2023.  

Team Interviews will be conducted in person in the pits on the days of the event.  All teams will be interviewed at least once, so be prepared to tell us why your robot is great!  Interviews should be around 10 minutes in length, so be sure to practice being concise and impactful.  Some teams may receive second interviews if the Judges need additional information.

Signature Event Early Bird Policy

• All Signature Events will have a specific Early Bird Registration that is independent of all local/regional Early Bird systems
  • Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period
    • An opportunity is taken away each time the team registers for a Signature Event, whether during the Signature Event Early-Bird period or Standard period
    • A Signature Event Early-Bird opportunity is not taken away if a team registers for a tournament hosted by their school or organization (where the team’s coach is the Event Partner)
  • Early Bird Registration will open 16 weeks before the event at 12:00PM EST
    • Note: Modifications to this may be made for events in August and September
  • Standard Registration will open 14 weeks before the event at 12:00PM EST
  • An Event Partner may register their own teams to their Signature Event during Signature Event Early Bird Registration no matter how many other Signature Events they are already registered for  
    • The Event Partner must be the Primary Contact for the teams they are registering
