Welcome to the High Stakes Tournament at Lutheran High School in Parker, CO presented by SNC®

Coaches: Please read this tab in its entirety; you are responsible for knowing, and communicating to your teams, the information below.

Lutheran High School wants to provide your students, and those who watch the event, a well-run and enjoyable tournament experience.  Volunteers are the key-part to making a tournament happen and we absolutely need your assistance in recruiting volunteers from your team’s parent group.  Volunteers who work 4+ hours at the tournament will be provided with lunch.

PLEASE DO NOT register your team(s) for this tournament unless you agree to these volunteer recruitment terms:

1. Each team, not school, is required to provide a volunteer for the tournament.  Volunteers may be parents, team coaches, or anyone else who is willing to volunteer for a team.

2. As team coach, you are responsible for recruiting appropriate volunteers for your teams. The skills, experience, and knowledge (of Vex robotics and tournaments) of your volunteers should align with the skills, experience, and knowledge needed to perform the volunteer role at a high level.  Additionally, if the job requires on-line training prior to the event, please ensure that the volunteer is willing to complete that training.

3. The link to the Sign-Up Genius is below and on the "Volunteer" tab.  On the Sign-Up Genius, the tournament jobs have been organized by, and labeled as, either Category ("C1", "C2", or "C3"), depending on the skill and knowledge level needed to perform the job.

- C1 jobs can be done with no, or minimal, training. There are 12 positions rated as C1.

- C2 jobs can be learned the day of the event, but some advance familiarity with the duties of the job is helpful. Experience with Vex robotics and Vex tournaments is also helpful. There are 8 positions rated as C2.

- C3 jobs are critical to a well-run event and require pre-event training and/or advanced knowledge of this year's game and of Vex tournaments.  There are 15 positions rated as C3.

4. Use the following table to determine what Category of volunteers your team(s) need to provide for the event. (If your team(s) are highly experienced, please focus on getting volunteers for C2 and C3 positions, rather than C1.)

Category of Volunteer your team should provide.

1 Team – Is this your school’s first season in Vex Robotics?

If “yes”, provide at least one C1 volunteer. (Minimum of 1 volunteer required.)

1 Team – Is this your school’s first season in Vex Robotics?

If “no”, provide at least one C2 or C3 volunteer. (Minimum of 1 volunteer required.)

2 Teams

Provide up to one C1 volunteer and at least one C2 or C3 volunteer. (Minimum of 2 volunteers required.)

3 Teams

Provide up to one C1 volunteer and at least one C2 AND one C3 volunteer.  (Minimum of 3 volunteers required.)

4 Teams

Provide up to one C1 volunteer and at least one C2 AND one C3 volunteer. (Minimum of 4 volunteers required.)

 

5. Please begin recruiting volunteers immediately and have them promptly sign-up using the Sign-Up Genius.  By doing this you will avoid multiple follow-up emails from me related to volunteer recruitment.

6. If there are open volunteer positions on the Sign-Up Genius on November 1, (15-days prior of the event), then, if any of your teams have no volunteers signed-up, those teams will be at risk of being replaced at the tournament by a team on the wait-list.  No refund of registration fees will be given if a team is replaced under this policy.

7. Volunteer “no-show” redress procedure on the day of the event.

  • If the no-show volunteer had a C1 or C2 job, you may find a suitable replacement, or fill the position yourself.  If you cannot find a replacement, or fill the position yourself, before the time when the position is needed, then that team will NOT be allowed to participate in the tournament and no refund of registration fees will be given.
  • If the no-show volunteer had a C3 job, or if more than one of your teams' volunteers do not show, then those teams will NOT be allowed to participate in the tournament and no refund of registration fees will be given.

Completed/signed consent FORMS for all participants (students, volunteers, coaches and other participating adults) must be turned in on-line using this link (http://www.robotevents.com/consent)

Snack items and drinks will be available for purchase in the team Pit Area (lower level of the school).

Spectator/Student Lunch
Lunch may be purchased from a variety of locations in Parker, CO, about a 10 minute drive (east of the school).

Parents and spectators should park in the upper lot and enter the school through the main entrance.

Coaches, you are responsible for reading and complying with the volunteer recruitment terms on the "General Info" tab of this event listing. 

We cannot run our event without volunteers! If you or someone you know are interested in helping us run a successful tournament, then please use the link below to sign up for one of our volunteer positions. We ask that each team provides at least one volunteer, in order to help us fill slots.

Those who volunteer for 4-hours or more will be provided breakfast and lunch (as well as the immense appreciation of all students)!

In the event of an emergency or bad weather, a cancellation email will be sent to the emails of those who registered (and to all volunteers) as soon as that decision is made. For more information, please reach out to the event manager on the General Info tab. Full refunds (minus the $5 non-refundable REC fee) will be provided if we are unable to reschedule. 

Refund and Payment Policies

Refunds will be provided until 10/25/24, if requested by a team.  If a refund is issued, only $100 of the full event fee ($105) will be returned due to the non-refundable RECF fee. 

Please see the paragraphs labeled "6" and "7" on the General Information tab for additional refund restrictions beginning on November 1 and on the day of the event.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical notebook to submit to the judges.
