Allgemeine information
Maximum Team Registrations
The maximum team registrations per organization is set at four per organization so that we can allow all organizations within our intended service area to register at least one team. We understand that there are many organizations with team counts that exceed this limitation. Please add all teams beyond the four team limit to the waitlist. Notify the event partner of your request for additional teams so that we can work with your organization to ensure everyone can register and participate.
Waitlisted team priority:
- Teams that have not participated in any VEX IQ Events This season.
- Hawaii Island Teams
- Outer Island Teams (Maui, Molokai, Oahu).
On December 20th we will begin filling teams from the waitlist.
Team Payment
Teams must be paid in full before participating in the tournament. The payment deadline is Janauary 4th, 2024 one week prior to the event. Teams that are marked as "unpaid" will be removed from the team event list if there are waitlisted teams. Teams that are marked as "P.O. Processing" will be asked to submit documentation that a Purchase Order has been submitted by your school/organization; without documentation payment will be treated as "unpaid" and will be removed from the team event list if there are waitlisted teams. Teams not paid in full by the event date will not be permitted to participate.
LATE Arrivals
Teams must be checked in 45 minutes prior to the start of the qualification matches so that the match schedule may be printed. Teams not checked in by this time may be removed so that the match schedule can be generated on time.
Team Expectations / Code of Conduct
We expect the following behavior and ethical standards at all REC Foundation-sanctioned events.
- Act with integrity, honesty, and reliability
- Behave in a respectful and professional manner with event staff, volunteers, and fellow competitors
- Exhibit maturity and class when dealing with difficult and stressful situations
- Respect individual differences
- Follow all rules as listed in the current game manual(s)
- Student-centered teams with limited adult assistance
- Safety as a top priority
- Good sportsmanship, which includes supporting your alliance partners
These expectations apply to all team members and all adults associated with a team including, but not limited to, teachers, mentors and parents. Judges will consider team conduct and ethics when determining awards.
With regards to adult interference -- If confirmed by judges / inspector / event partner, the team will be disqualified from all awards.

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.
For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Please note that the agenda prodvided on this page is tentative and may need to be adjusted without notice. Official Agendas will always be emailed prior to the event date through the email associated with your robotevents account. Please make sure to keep your contact information current.
Notes: Skills will primarily be run concurrently with the qualification matches. We will also offer shortened dedicated time block of 1 hour for teams after qualification matches end to complete their skills matches.

Emcee
Description: Provide play-by-play during the tournament and informative program knowledge between matches. Add enthusiasm and energy, as well as a high level of engagement and understanding, for all event participants.
Activity Level: High (physical), constant standing or walking.
Experience Level: Advanced. Experience is preferred but not required.
Skills:
- Outgoing and charismatic communication style to engage and energize the audience
- Work as a team with other volunteers
- Think quickly and improvise
Field Reset
Description: Accurately reset the competition field after each match and assist the Field Manager or Head Referee as needed. Note: students with high energy and younger children do well.
Activity Level: High (physical), constant standing or walking.
Experience Level: Beginner. No experience is needed.
Skills:
- Ability to review field diagrams to place game objects in correct locations on the competition field
- Move quickly around the field
- Good listening skills
Head Referee
Description: Organize and oversee all Scorekeeper Referees. Interpret and consistently enforce the rules of the game to score each match upon completion. Act as the final authority for any disputes or rulings. Train Scorekeeper Referees as needed.
Activity Level: High (physical), constant standing or walking.
Experience Level: Advanced. Certification required. Must be at least 20 years old for V5RC events and at least 16 years old for VIQRC events.

- Lead a team effectively
- Interact positively with students and coaches
- Arbitrate disputes fairly and quickly deescalate arguments
Inspector
Description: Conduct inspections to verify that robots comply with the rules and specifications outlined in the game manuals.
Activity Level: Moderate (mix of sitting and walking).
Experience Level: Intermediate. Basic knowledge of robot construction and familiarity with V5RC & VIQRC parts is helpful, but not mandatory.

Judge
Description: Evaluate student teams through interviews, Engineering Notebooks, and on-field performance. Present awards as needed.
Activity Level: Moderate (mix of sitting and walking).
Experience Level: Intermediate. Some robotics judging experience is helpful but not necessary. Must be at least 18 years old and not part of a V5RC team for all V5RC events. Must be at least 21 for all VURC and VAIRC events. Must be at least 18 for VIQRC events. Younger volunteers ages 16-17 may be VIQRC Judges if paired with another Judge who is 18 or over.

Judge Advisor
Description: Train and assist volunteer Judges as they evaluate student teams through interviews, review Engineering Notebooks, observe on-the-field performance, and present awards as needed. Facilitate the Deliberation process for judged awards, and serve as a Judge as needed.
Activity Level: Moderate (mix of sitting and walking).
Experience Level: Advanced. Previous Judge experience is strongly recommended. Certification required. Must be at least 20 years old for V5RC and VIQRC events, and at least 21 years old for VURC and VAIRC events.

Pit Admin Assistant
Description: Serve in a customer service role by assisting teams and guests with competition- and venue-related questions.
Activity Level: Low (mostly sitting).
Experience Level: Beginner. No experience required.

Practice Field Official
Description: Oversee practice fields and ensure that all teams have access to practice time and proceed in an orderly fashion.
Activity Level: Moderate (mix of sitting and walking).
Experience Level: Beginner. No experience required.

- Communicate effectively
Queuing
Description: Assist with staging teams for upcoming matches.
Activity Level: High (physical), constant standing or walking.
Experience Level: Beginner. No experience required.

Scorekeeper Referee
Description: Record scores using the TM Mobile app or paper score sheets. Verify recorded scores with other Scorekeeping Referees and/or the Head Referee as needed, and with the student drivers after each match. Discuss possible rule violations with the Head Referee after the match. Ensure the field is reset and robots are ready for the next match.
Activity Level: High (physical), constant standing or walking.
Experience Level: Intermediate. Experienced volunteers are preferred; however, Scorekeeper Referees can be new volunteers and can be trained quickly. Must be at least 15 years old for all events.

Team Check-in
Description: Welcome teams as they arrive. Verify teams, hand out materials, and collect Engineering Notebooks. Answer basic questions about the facility and event.

Experience Level: Beginner. No experience required.

VEX TM Operator
Description: Use the Tournament Manager software to initiate matches and record scores. Coordinate with the Emcee on displaying match results at appropriate times.
Activity Level: Low (mostly sitting).
Experience Level: Intermediate. Experienced volunteers are preferred, but new volunteers can be trained in advance.

Volunteer Check-in
Description: Welcome volunteers and guests. Verify schedule, hand out materials, direct volunteers to appropriate locations. Answer basic questions about the facility and event. Can be a fast-paced role.
Activity Level: Moderate (mix of sitting and walking).
Experience Level: Beginner. No experience required.

Richtlinie für not-/schlechtwettersituationen
In the event that we are unable to convene due to inclement/bad weather the individual event will be cancelled.
The event partner will contact teams if the event must be cancelled.
Teams should make sure their contact information is up to date in RobotEvents.com, and includes both school and non-school phone numbers.
Refund and Payment Policies
If the Event Partner cancels the event:
A full refund will be provided minus any payment processing fees incurred.
If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:
The Big Island VEX IQ Tournament is not able to offer refunds due to incurred costs to organize and run the event.
Once payment is recieved, we are unable to offer refunds for cancellations or no-shows at the event.
Please be sure that your team is committed to participating before registering.
Judging Format
All In-Person Judging
The Team Interviews and Engineering Notebooks will be judged in-person the day of the event.
Teams should bring a physical copy of their notebook to submit to the judges. Electronic copies should be printed.
